Job Description

Job Title: Business Immigration Coordinator

Location: Miami, FL (On-site)

Type: Contract-to-Hire | Full-Time

Pay: $19 - $20/hour

Overview:

We are seeking a highly organized Business Immigration Coordinator to join our team in Miami. This role provides vital administrative support to the immigration department, ensuring case files, documentation, and timelines are handled with accuracy and efficiency. The position requires strong attention to detail, effective multitasking, and comfort working with technology and reporting tools.

Key Responsibilities:

  • Maintain and update immigration case files, both digital and physical.
  • Organize, track, and process supporting documents (passports, visas, I-94s, degrees, etc.).
  • Prepare, scan, copy, and submit immigration filings to attorneys and government agencies.
  • Manage data in Connect, including case archiving and employee profile updates.
  • Monitor and distribute USCIS notices (Receipts, Approvals, RFEs).
  • Maintain tracking spreadsheets and set reminders for immigration milestones.
  • Communicate with employees to gather documents and respond to routine inquiries.
  • Coordinate calls, meetings, and appointments with attorneys, HR, or employees.
  • Draft templates, cover letters, and standard communication emails.
  • Assist with Public Access File (PAF) creation and maintenance.
  • Track deliveries, receipts, and filing confirmations.
  • Book visa interviews or biometrics appointments as needed.
  • Troubleshoot system access issues and manage user profiles.
  • Run basic reports and exports for case tracking.
  • Serve as liaison with Kochi team and provide overall administrative support.

Qualifications:

  • Prior administrative experience required (legal/immigration support a plus).
  • Strong organizational skills and keen attention to detail.
  • Proficiency in Microsoft Office and ability to work with case management software.
  • Strong communication skills and ability to manage multiple tasks effectively.
  • Must be available to work on-site, MondayFriday
