Assistant Property Manager
Monomoy CRE manages a private REIT composed of a portfolio of diversified net leased industrial real estate assets. We are expanding our portfolio and are seeking an experienced and motivated Assistant Property Manager to help us manage our growing number of properties. This position will be located in Charleston, SC, although we currently manage approximately 150 properties across 38 states. This is an exciting opportunity to join an innovative, fast-growing, dynamic REIT management team as an Assistant Property Manager within the Operations Department. The Assistant Property Manager will be responsible for the oversight and management of property operations for a portfolio of industrial properties. This individual must demonstrate superior organizational skills, communication, and client relation skills, along with at least 3 years of experience in property management and operations.
Essential Responsibilities:
- Assist the Property Management Team with oversight and management of all taxes, utilities, association fees and compliance, property preservation, repairs, maintenance, insurance coverage and leasing matters related to the Portfolio.
- Field maintenance and repair requests from tenants, coordinate and oversee work orders with vendors, solicit/evaluate bids for services, monitor/track all repair and capital projects through completion.
- Keep accurate records of current space conditions of the properties and schedule recurring maintenance.
- Coordinate and oversee annual lender property inspections with tenants and third-party support staff, as well as any lender deferred maintenance requests, ensuring seamless communication, timely inspections, and adherence to all operational and compliance requirements.
- Coordinate and oversee annual property site visits for internal staff, as well as any tenant move-in or move-out inspections.
- Oversee tenant improvement projects and coordinate with construction team on capital improvements.
- Coordinate and track real estate tax payments to ensure all are paid in a timely fashion and without penalty; evaluate assessments and coordinate appeals.
- Evaluate, recommend, secure, and monitor insurance coverage maintained by the owner as well as coverage maintenance by tenants to ensure compliance with all lease and loan terms. Assist the Property Manager with developing and implementing risk management programs for the properties in the portfolio.
- Assist with the preparation and maintenance of appropriate tenant lease files, records, correspondence, and file notes.
- Review and abstract lease terms for internal review and input into Yardi.
- Assist in property due diligence for potential acquisitions, including issuing Requests for Proposals, analyzing quotes, coordinating vendor scheduling, as well as reviewing various reports, public records, tax assessment details, insurance needs, utility detail, property documentation and various other tasks.
- Track and maintain utility accounts for multiple properties, ensuring timely payments, accurate records, and coordination of account transfers during acquisitions, dispositions, or tenant transitions.
- Monitor and track the accounts receivable and accounts payable process, including collection of rent, reimbursable items, accruals, payment of expenses, reconciliations, and preparation of related documentation.
- Oversee administrative tasks including mail intake, reviewing invoices, maintaining internal trackers, expense reports and various other data entry projects.
- Liaise with tenants, municipalities, lenders, vendors, and internal business units to ensure compliance with various leases and loans.
- Track and coordinate deliverables with lenders, vendors, tenants, municipalities, and internal business units.
Qualifications:
- Minimum of 3 years of Property Management experience is required.
- Prefer candidates with Risk Management/Commercial Property Insurance experience, and experience with insurance certificate tracking platforms.
- Must be a quick learner with an excellent sense of time management, who understands how to prioritize and gives attention to detail.
- Exceptional oral and written communication skills as it relates to industrial lease terms and forms, and as it relates to communicating with clients.
- A team player is a must!
- Creative problem solver who has strong analytical and organizational skills, and who is motivated to work in fast paced environment.
- Experience with property level accounting and reviewing commercial real estate tax/assessment and lease review preferred.
- Strong competency in Microsoft Excel, Microsoft suite, and Yardi (or a similar management platform) is preferred.
- Very strong work ethic, unquestionable honesty and integrity, intellectual curiosity and takes pride in providing exceptional work product in a timely manner.
- Willingness to handle light-travel.
