Job Title: Land Team Office Assistant

Job Type: Full-Time - $20 /hr

Position Summary

The Land Team Office Assistant provides vital administrative support to the land development department, ensuring smooth day-to-day operations and efficient communication across internal teams and external partners. This role involves document management, scheduling, data entry, and assisting with permit tracking and project coordination.

Key Responsibilities

• Support the land development team with general administrative tasks, including scheduling meetings, organizing files, and managing correspondence
• Prepare and process project documentation such as contracts, reports, permit applications, and meeting notes
• Maintain project tracking systems and assist with deadline monitoring
• Communicate with municipalities, consultants, and utility companies as directed
• Assist with research related to property records, zoning, and permitting
• Help compile submittal packages for entitlements, permits, and plan reviews
• Order supplies, manage office equipment, and maintain a well-organized workspace
• Coordinate incoming and outgoing plans, drawings, and other project documents
• Provide backup support to other administrative staff as needed

Qualifications

• High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
• 1–2 years of experience in an office or administrative role; experience in real estate, construction, or land development a plus
• Strong organizational skills and attention to detail
• Proficient in Microsoft Office (Word, Excel, Outlook); experience with project management or document control software is helpful
• Excellent written and verbal communication skills
• Ability to handle multiple tasks and meet deadlines in a fast-paced environment
• Team-oriented with a proactive, can-do attitude
