Job Summary: The Accounting Clerk will support the Accounting Department with timely and accurate cash reporting, disbursement processing and treasury management. This position interacts with various departments and requires discretion in confidentiality, excellent customer service, effective communication, problem solving, organization, responsiveness, attention to detail, and follow through.

Duties & Responsibilities

Weekly Cash Reporting & Disbursement Processing

  • Prepare payment previews and cash roll forward reporting weekly.
  • Process internal disbursements: check runs, ACH/EFTs, intercompany transfers and emergency disbursement requests.
  • Process and reconcile external Textura & PaymodeX disbursements. Assist subcontractors and vendors with payment discrepancies and inquiries.
  • Interface Oracle Textura invoices and payments into Vista Viewpoint system. Research and resolve errors.
  • Ensure timely inclusion of recurring payments: leases, taxes, insurance premiums, etc.

Treasury Management

  • Vendor management: Set up vendors, maintain vendor records, ensure accuracy for 1099 reporting. Research new PaymodeX vendor candidates and activate/deactivate PaymodeX vendors.
  • Manage positive pay and ACH filters. Monitor bank accounts, emails, etc for attempted fraud and escalate concerns to management.
  • Process void/stop payments.
  • Download and reconcile bank statements and cleared check files. Research outstanding checks.
  • Handle remote desktop check deposits. Post check, wire and ACH deposits to the accounting system and ensure timely delivery of project team notifications.
  • Record daily bank activity. Research and resolve discrepancies.

Corporate Card Management

  • Administer corporate purchasing card program: set up new card users, terminate card users, manage spending limits.
  • Corporate card reporting.

Other

  • Regularly support accounting management and others with requests.
  • Assist with posting and coding monthly corporate card transactions, as needed. Provide additional support for Accounts Payable, as needed.
  • Bookkeeping and various monthly reconciliations.
  • Other duties as assigned.

Education/Experience

Required

  • High School Diploma.
  • Minimum 3 years of relevant experience.
  • Ability to handle confidential information with discretion.
  • Works well independently and as part of a team.
  • Excellent customer service, effective communication, organizational skills, attention to detail and follow through are a must.
  • Thrives in a fast paced environment.
  • Proficiency using Microsoft Excel, Word and Outlook; 10-key by touch.

Preferred

  • Construction, Homebuilding or similar industry experience.
  • Familiarity with Viewpoint and Textura.

Compensation & Benefits

  • Pay Type: Salary
  • Pay Range: $55,000 to $65,000 per year, based on qualifications and experience.
  • Other Compensation: Bonus commensurate with individual performance, company performance, and experience.
