OVERVIEW:

The Accounting Coordinator will be responsible for the processing of residential and development utility invoices and assigned related functions associated with utility payments and inquiries as assigned by a senior accounting staff member. Additionally, other responsibilities will include resident security deposit refunds, as related to the data reflected in the Property Management software program as assigned by a senior accounting staff member.

RESPONSIBILITIES- Utilities:

  • Process and submit development invoices for payment processing.
  • Record utility information in tracking workbook by property for development team.
  • Assist in transferring utilities to resident’s name where applicable.
  • Review & approve daily invoice payment run provided by third party vendor.
  • Participate in calls with third party vendor reviewing errors, new issues, questions, late fees, etc. when requested.
  • Follow up with vendors for missing invoices.
  • Track and provide proof of payment for utility reimbursements from agencies.
  • Assist Residential Accounting in resolving actual to budget variances.
  • Assist with inquiries from Property Management regarding budgets, invoices, landlord agreements & reports.
  • Provide cost and consumption reports for finance agencies.
  • Track and investigate late fee charges and resolve with third party vendor as to responsibility.
  • Provide utility information to development team, asset management team and residential accounting team upon request.
  • Monitor incoming mail from Utility email and US postal service for distribution and resolution.
  • Perform other related duties as assigned.

RESPONSIBILTIES – Security Deposits:

  • Open and close respective bank accounts.
  • Provide site managers with moveout documentation and maintain files for future access.
  • Manage year end security deposit interest refunds when mandated by state policy.
  • Provide support to other team members of the Security Deposit Team.
  • Perform other accounting-related duties as assigned.
  • Physical attendance at assigned work location(s) during scheduled hours is essential.

EXPERIENCE:

  • Prior accounting related experience preferred
  • Prior utility experience preferred
  • Prior Security Deposit experience preferred

EDUCATION/TRAINING:

  • Associates Degree, preferably in Business/Accounting desired
  • High School or GED equivalent required
