BASIC FUNCTION
Provide efficient and professional administrative support to the central office of Residence Life. This position provides 5 star customer service to students, parents and other guests in a professional, courteous and efficient manner.
Including managing and triaging high volumes of phone calls and walk-in guests, maintaining multiple complex schedules, and assisting with the annual move-in and move-out processes and other central office programming.
PRINCIPLE ACCOUNTABILITIES
  • Answer phone calls and greet walk in guests, providing 5 star customer service
  • Control the workflow of the office. Implement office procedures and practices. Perform directives from supervisor to coordinate administrative procedures within department and/or among other offices.
  • Maintain bookkeeping records of revenues and expenditures for department or school. Assign proper budget codes.
  • Prepare requests for travel authorizations, services request, etc. Check records, meet with staff and resolve any differences with accounting. Supervises office administrative clerical staff and or other similar positions.
  • Enter personnel and financial documents with related software applications.
  • Perform data analysis of average difficulty using tables, graphs and basic statistics. Submit final reports to department administrators and/or managers.
  • Supervise the scheduling of appointments, meetings and conferences for department heads and/or other department staff.
  • Monitor, screen and respond to confidential, high profile and compliance/regulatory incoming/outgoing communications and correspondence.
  • Responsible for triaging and managing the coordination of any resulting consultations, meetings, events and initiatives associated with these communications
  • Coordinate administrative procedures between Residence Halls and offices related to projects and/or initiatives and may assign and monitor student workers and administrative staff related to these tasks.
  • Assists in coordinating special events, special projects and performs other job-related duties as assigned by Director of Residence Life.
