Job Summary:
The Administrative Assistant provides administrative assistance to assigned physicians in accordance with the Department of Neurology and Neurosciences. Job duties of this role include coordination of administrative tasks, scheduling and coordination of patient care issues.
Essential Responsibilities:
1. Responsible for providing administrative, analytical, computing and staff support for the Department of Neurology and Neurosciences. Executes assignments and tasks requiring data collection, information gathering, analysis, data entry/retrieval, data base maintenance, and forms and graphics generation utilizing a variety of software packages.
2. Assist maintaining the department s workload ensuring effective use of manpower and resources to assist in the smooth running of the department. Acts as the focal point of communication for the assigned Attending and his/her team, confidentiality being the key issue at all times. In undertaking the role of staff assistant, the post holder will be required to initiate their own tasks and prioritize work.
3. Utilizes specific knowledge of medical terminology and hospital, clinic, or laboratory procedures.
4. Respond to medical record request timely.
5. Responsible for procedure or medical test procedure authorizations and scheduling including: authorizing services, assisting the patient in scheduling those services, and obtaining reports and medical notes for the attending physicians review.
6. Communicates in a highly professional manner with department faculty, university administrators, researchers, staff and students, and the many external callers and visitors that frequent the very busy neurology practice.
7. Screens calls and provides information in accordance with organizational and departmental policy. Receives and appropriately handles incoming correspondence, makes appointments, schedules meetings, and responds to inquiries.
8. Prepares and/or compiles data for special reports and analyses, monthly reports, program evaluations, and other related reports within prescribed guidelines if requested by attending physicians.
9. Undertakes routine writing and editing assignments; generates correspondence for signature; maintains mailing lists.
10. Coordinates and maintains the department and physician calendar. Exercising discretion, applies informed independent judgment to help manage the assigned physician s time.
11. Understands and adheres to Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.
12. Keeps abreast of all pertinent federal, state regulations, laws and policies as they presently exist and as they change or are modified.
13. Performs other related duties as assigned.
Educational Requirements:
- High School Diploma or GED required within one (1) year of hire. Candidates who do not possess a High School Diploma or GED equivalent at time of hire will be provided the opportunity to enroll in a GED/HSEA program as a condition of employment.
- Associate's/Bachelor's degree Strongly Preferred or Medical Assistant Certification Strongly Preferred
Qualifications and Skills:
- Bilingual in English and Spanish speaking strongly preferred
- Experience working in a physician group practice is desired, but not required
- Significant knowledge of computer applications including Microsoft Word, Excel, practice management software, and PowerPoint as well as a skilled use of web and web-based software
- Ability to perform multiple and diverse tasks simultaneously
- Neat, professional appearance
- Strong written and verbal communication skills and cheerful attitude
- Applicant must demonstrate ability to critically think and self-manage daily tasking
Hours*:
Monday - Friday, 8:30am - 5:00pm
