We are looking to fill an Administrative Assistant position, that will work directly with our senior leadership. As an Administrative Assistant you will be responsible for handling day-to-day organization and activities related to our accounts receivable and payable. Administrative Assistant may be responsible for small or large task and must be able to multi-task in a fast-paced environment. We are ultimately looking to for another member to join our rewarding team, bringing a new outlook (not just a “yes” person), while also capable of completing assigned task within the timeframe provided with little to no supervision. The following are a few roles and responsibilities that may be asked of you in this position:

Responsibilities
  • Answer and direct phone calls
  • Organize and schedule appointments
  • Manage obligations to suppliers, customers and third-party vendors
  • Process bank deposits
  • Handle day-to-day office responsibilities
  • Plan meetings and take detailed minutes
  • Monitor weekly and monthly goals, to ensure teams are on track for success
  • Greet guests and visitors (when applicable) with a friendly and warm welcoming smile
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Reconcile financial statements
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Prepare daily itinerates of senior leader’s schedules
  • Prepare, send, and file invoices
  • Work in harmony with other departments, leadership, and team members
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain appropriate record and file keeping
  • Contact clients and send reminders to ensure timely payments
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Record and manage office expenses
  • Prepare agendas to meet time constraints
  • Provide general support to visitors
  • Identify, address, and report on the status of any discrepancies
  • Act as the point of contact for internal and external clients
  • Compile various statistical data reports to review with leadership
  • Submit and process tax forms
  • Respond to any complaints promptly
  • Create memos that outline the company’s objectives and expectations of team members
  • Handling small HR responsibilities (such as recruiting, interviewing, and scheduling)
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
Requirements
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (Microsoft Word and Excel, in particular)
  • Good knowledge of bookkeeping procedures and debt collection regulations
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Hands-on experience with accounting software
  • Fluent in English (additional languages are a plus)
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Self-Starter, requiring little to no management
  • Team Player (we support the team)
  • High School Degree or GED
