Calling all amazing administrative assistants!

As Administrative Support II, you will play an essential role in our growing Physician Assistant Department. We are looking for an individual to focus on our Accounts Payable and Procurement processes. Your tasks will include working with the procurement department to create requisitions, contracts, purchase orders, invoices, and payments to adjunct lecturers and other independent contractors. You may be eligible to work remotely.

Summary of Responsibilities

Responsible for performing a variety of standard administrative tasks such as:

  • Filing, phone support, and data entry.
  • Responds to phone and walk-in queries, answering questions about the PA program.
  • Assists Director and Program Admin III with creation and maintenance of spreadsheets and other records related to program operations.
  • Maintains budget records and initiates requisitions for program expenses. Initiates and completes event planning, including space reservations, catering, etc., for classes and events.

Minimum Qualifications

Required Qualifications

Graduation from an accredited institution with an associate’s degree and one year of experience OR any combination of education and experience related to the Summary of Duties totaling three years.

Preferred Qualifications

  • Strong organization skills
  • Proficient with Microsoft Office Suite including Excel
  • Ability to learn new software programs quickly

Knowledge, Skill, and Abilities

  • Knowledge and experience working in a student-focused educational environment.
  • Knowledge of university operations.
  • Knowledge of high-achieving student needs and challenges.
  • Excellent interpersonal, decision-making, and problem solving skills.
  • Skills in computerized office operations and software applications, including word processing, spreadsheets, email, and similar applications.
  • Ability to perform program support duties collaboratively or with limited supervision.
  • Ability to prioritize tasks and effectively handle multiple responsibilities simultaneously.
  • Ability to be attentive to detail, particularly regarding document management.
  • Ability to take initiative and be flexible within a cooperative team environment.
  • Ability to maintain confidentiality.
