Description of Job

GENERAL SUMMARY:
This position exists to provide academic and administrative support to the Department Chairs, faculty, staff, students, internal and external customers of the Business & Information Technology Department (BIT). FRCC focuses on inclusivity and this position is the main point of contact for many instructors so the ability to welcome and positively interact with our diverse students, faculty and staff is essential.

DUTIES:

Departmental Office Support


  • Provide coverage at the front desk and managing BIT reception responsibilities.
  • Provide administrative support for faculty, instructors and students. Including, but not limited to, reporting data, assisting with events, copying, preparing for Advisory Committee meeting, maintaining supplies for the suite and classrooms, load forms, etc.
  • Follow up and report to Leads/Chairs to ensure all documents related to course instruction are filed according to institution policy.
  • Disseminate reports to faculty and instructors as required.
  • Complete D2L audit and follow up with Chair.
  • Enter department information into Banner.
  • Manage department room reservations in Ad Astra.
Budget Support
  • Budget: Analyze, reconcile and track the budget needs of the various disciplines in the BISIT department. Prepare budget documents by reallocating P-Card purchases in Banner, assemble receipts, and reconcile monthly P-card statements for department chairs. Oversee compliance with FRCC and State fiscal guidelines and recommend adjustments.
  • Purchasing: Manage inventory of faculty office and classroom supplies for the departments. Create a workflow process to support purchasing for multiple department faculty. Oversee the ordering of supplies as needed and special orders upon request of department chairs.
  • Grants: Knowledge of and compliance to policies, rules, regulations, and processes of Perkins grants, external grants, and internal FRCC awards.
Instructional Support
  • Assist faculty/instructors with initial and renewal CTE credentialing applications.
  • Responsible to work with faculty and Chair to ensuring the course schedules are updated and current. Monitor to ensure all classes have assigned instructors/faculty prior to registration opening. Follow up with Leads as needed.
  • Insure new instructors/faculty turn in necessary paperwork, order access cards and have instructor access information for Banner, Desire 2 Learn college e-mail and computers.
Travel
  • In accordance to State and College fiscal rules and guidelines, make travel arrangements for faculty by making airline reservations, hotel accommodations, registration arrangements and completing all necessary paperwork. Obtaining appropriate signatures. Advise and assist faculty with completing necessary paperwork upon their return. Revise and update travel instruction guide and travel packet for use by staff and faculty as needed.
  • Assist faculty completing mileage reimbursement.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

MINIMUM REQUIREMENTS:
Thirty-six months (36) of professional, general administrative or office support experience. The primary function of your job must be clerical. Effective verbal and written communication skills are necessary for success in this position. (Part-time experience will be pro-rated). Do not use “SEE RESUME” statements on the application; your application must be completed in detail documenting your experience.

SUBSTITUTION: College, university, from an accredited institution may substitute for the clerical experience as listed above on a year for year basis. (A COPY OF YOUR TRANSCRIPT VERIFYING THE REQUIRED CREDITS MUST BE RECEIVED BY APPLICATION DEADLINE, IF SUBSTITUTION IS USED TO MEET THE MINIMUM REQUIREMENTS)

REQUIRED COMPETENCIES:


  • Customer Service:
    Provide support and assistance to the Department Chairs, Faculty, Leads Support Team and Students by answering questions, providing follow-up, resolving questions and problems that arise.
  • Communication: Communicate accurate, timely, and detailed information to faculty, staff students, other departments and vendors.
  • Problem Solving: Determining the cause of the problem, identifying, prioritizing the situation and selecting a solution.
  • Technology: Knowledge of Microsoft Office Suite, WebEx, Banner, Ad Astra. Create and manipulate spreadsheets to extract data, communicating through email in an effective manner, schedule appointments and create and update forms.
  • Attention Detail: Complete Faculty Load Forms, travel packets, and FLAC contracts. Update team site. Reallocate expenses.
  • Critical Thinking: Update budget spreadsheets. Assist with calculating expenditure. Create spreadsheets and reports for data analysis. Maintain confidentially.
  • Equity, Inclusion and Diversity: Work with students and staff from diverse backgrounds Treat all students with respect and fairly.
  • Establishing & Maintaining Relationships: Providing support to departments, employees, students, and vendors.
