Denise Louie Education Center is a local nonprofit providing comprehensive, multi-cultural early education and family support services to low-income, at-risk immigrant, and refugee communities residing in King County for over 40 years. Today, Denise Louie serves nearly 950 children and families with preschool, home visiting, and socialization groups-all of which are offered at no cost.

We are currently seeking a highly motivated Administrative Assistant to join our cause. This position provides support to the Education Supervisor by providing direct support to the operations of their primary preschool center. In this role, you will work with internal and external individuals and groups to ensure that the center is supported in line with Denise Louie Education Center and ECEAP program standards.

Essential Functions:

Facilities/Operations/Site Coordination

  • Create organizational systems, processes, and tools to ensure the smooth operation of the site and support programs.
  • Orient staff and substitutes to site and classrooms in coordination with Education Supervisors.
  • Answer phones, direct calls, take messages, greet families, give program information & ensure front desk coverage at all points in time.
  • Create signage to communicate site closures and other important updates to families and staff
  • Create, distribute, track, review, and file sign-in sheets for staff and visitors. Monitors visitor entry.
  • Manage distribution and tracking of site key fobs
  • Submit maintenance requests and ensures completion of items—escalates large concerns to ensure licensing compliance.
  • Coordinate with other DLEC departments to receive and distribute supplies, documents, and equipment for site.
  • Follow procedures for emergencies and natural disasters. Ensure that disaster and emergency plans are posted and that emergency supplies are purchased, clearly labeled, and staff is aware of their location and availability. Review plans with staff regularly and makes sure new staff are aware of emergency procedures.
  • Maintains a Parent Resource area and ensures that all displayed information is regularly updated and current.

Parent/Families

  • Greet all family and visitors; provide tours to prospective families.
  • Complete initial pre-screen of prospective families and share information with the enrollment team.
  • Document and escalate parent concerns to Education Supervisor or Family Services Specialist.
  • Document attendance phone calls in ChildPlus.
  • Greet families, check children in and out, and document attendance in database
  • Provides back up classroom support to maintain teacher/child ratio if needed.

Administrative Support/Ordering

  • Enter data into databases to help ensure licensing and contract compliance.
  • Assist in the closing, storage and maintenance of program information, files, binders, other documents at the end of the program year.
  • Support with arrangement/coordination of trainings, meetings, celebrations, and Policy Council.
  • Upon request, provides translators and/or childcare for parent meetings, trainings, etc.
  • Receives and disseminates mail
  • Checks site to ensure needed classroom and operational supplies are always available.
  • Submit, receive, and distribute orders for office, site, and classroom supplies. Complete credit card reconciliation process for all orders.
  • Purchase materials and order food for classroom meetings, birthday celebrations and end of year celebrations.
  • Work with catering company to ensure daily meal counts are correct and all dietary restrictions are met.

Qualifications:

  • Two years of experience providing office support services or related fields.
  • An associate or Bachelor’s in early childhood education or a related field is preferred.
  • Experience interacting positively with a varied clientele, in person, or on the phone.
  • Computer proficiency: Microsoft Office, Gmail, and Google Applications, and internet and able to learn new software programs.
  • Basic office equipment proficiency: copy, fax, voice mail etc.
  • Excellent oral and written communication skills.
  • Excellent organizational and time management skills.
  • Ability to prioritize and follow up on assigned tasks in a fast-paced environment.
  • Ability to complete complex projects independently.
  • Ability to anticipate and respond to needs of managers, and agency.
  • Ability to quickly learn Head Start and DLEC systems and requirements.
  • Ability to work flexible schedule, including some evenings and weekends.
  • Bilingual in English and another language preferred

Pay Range: $20.89 - $21.74 hourly

Team members are eligible to participate in the company 401(k) plan, which offers a non-elective employer contribution after an introductory period. In addition, eligible full-time and part-time employees will accrue up to 18 days of PTO, eleven paid holidays, and one personal holiday annually.

Physical Demands: To perform the job the employee must be able to lift and potentially carry a child weighing up to 50 pounds, routinely kneel, bend, crouch, and sit on the floor for extended periods of time, and stand, walk and sit on child-sized chairs throughout the day.
Working Conditions: The work is typically performed in an early childhood school environment, with moderate to loud noise levels.
