ADMINISTRATIVE ASSISTANT / Real Estate Development Team, Rochester NY

HYBRID POSITION: 60% In office, 40% remote, once fully trained

SUCCESSFUL CANDIDATES’ EXPERIENCE will include:

  • Minimum five (5) years relevant work experience as an executive level administrative assistant or comparable administrative support office experience.
  • Strong skills in technology software including Microsoft Word, Excel, PowerPoint and Outlook; MS Teams, Zoom.
  • Proficient in or can be easily trained in Data Base Knowledge Systems (Deal path; Yardi, Smart sheet)
  • Knowledge of InDesign and other design software a plus
  • Excellent office administrative skills including emails, correspondence, mail, telephone messaging, data entry, proofreading, filing, others as needed.
  • Demonstrated strong customer service skills to interact and assist internal and external customers at all levels of the company and outside representatives.

OVERVIEW: The Administrative Assistant - Development will assist and support the Development Department with all administrative daily activities and projects as needed.

RESPONSIBILITIES will include:

  • Provide administrative support to the Development Team including correspondence, presentations, scheduling meetings, managing calendar, email, travel arrangements, invoicing and expense reports.
  • Perform general clerical duties to include, but not limited to: printing, scanning, photocopying, mailing and filing.
  • Print and assemble multifamily housing funding applications and request for proposals and qualifications (RFP/RFQ)
  • Draft policy and procedure sheets for the Development Team at the direction of the Senior Vice President of Development Operations
  • Draft presentations for local municipal approvals and partner meetings at the direction of the Development Team staff (will require a high proficiency in PowerPoint)
  • Scan and maintain documents in electronic archive when needed.
  • Process invoices from outside vendors including scanning, coding and follow up with internal and external parties
  • Assist with answering multi-line telephone system, take accurate messages, and screen and direct telephone calls for management in a professional manner when necessary.
  • Process incoming and outgoing mail by operating postage meter, in the absence of the receptionist, when necessary.
  • Operate standard office equipment efficiently to include: multi-line telephone system, computer with printer, scanner, photocopy machine, facsimile machine and postage meter.
  • Other development-related administrative projects, duties as assigned.
  • Physical attendance at assigned work location during scheduled hours is essential.
  • Ability to work evenings during high volume times of the year.

EDUCATION/TRAINING:

  • Degree: Two-year college degree required or comparable executive administrative support work experience.
  • High School or GED equivalent required.
