Job Performance Functions: Holds an administrative clerk position, based on the school calendar year, with 20 additional days to be assigned at the discretion of the Special Education Administrator(s).Has a workday which is 7.5 hours in length. This includes a one-half hour unpaid lunch break. The normal hours of work shall be from 8:00 AM to 3:30 PM during the school year. This is subject to change.Shall work on days during which school is in session as determined by the school calendar.Primary administrative support for all district 504 processes, programs, students, and staff as well as out of district student placements and services.Maintains a current working knowledge of and prepares all State Department of Education annual and periodic reports and forms related to special education and Section 504, and provides support to building based administrative assistants/clerks regarding such reports.Applies and maintains a current working knowledge of computer software programs designed for the compilation of student, fiscal and general data related to special education and 504.Acts as special education database facilitator to ensure the proper functioning of the database for the special education/504 process, to support programming, and state data collection.Organizes, updates, destroys and generally maintains all student, fiscal and general files as required by student record laws and other state regulations regarding the maintenance of special education/504 records and registers.Researches information, gathers data and makes inquiries for periodic projects related to special education/504.Prepares correspondence for the Administrator(s) of Special Education, as necessary.Initiates the distribution of all annual routine special education/504 notifications, memoranda, regulatory correspondence, etc.Prepares all materials as related to special education/504 including the processing of reports, letters, newspaper notifications, individual educational plan data entry, and grants.Employs appropriate telephone communication with parents, staff, transportation companies, other school districts, and the general community, and records messages as necessary.Prepares purchase orders as directed.Prepares, compiles, and submits student information for Medicaid Reimbursement program.Assists in the collection, preparation, and distribution of Special Needs student transportation rosters and bid forms to transportation providers and/or the Finance Department, as necessary.Reviews, distributes, and responds as appropriate to special education/504 mail.Schedules interviews, conferences and/or appointments for the Administrator(s) of Special Education as directed.Performs receptionist duties as needed.Assists in the collection and notification of outside services, including but not limited to: interpreting services, outside independent evaluation services, outside special education services, outside special education placement services.Processes special education/504 forms and assists Special Education Team Chairs/building 504 Coordinators in complying with special education/504 processes.Performs such other tasks as may, from time to time be assigned by the Administrator(s) of Special Education and/or Superintendent.
