Position Overview

The Administrative Coordinator provides critical support to Family Connections Centers' (FCC) Admin Team. The position is the lead for the agency’s front office customer service, supplies, and admissions and supports financial and data systems. The Administrative Coordinator reports to the Administrative Manager and works at both the Portola and Excelsior locations.

Primary Responsibilities

Administrative

  • Lead the agency’s digital and paper enrollment processes, coordination, and training of staff
  • Order, receive, conduct inventory and distribute supplies, and interface with staff regarding orders
  • Maintain orderly upkeep of lobbies, office storage, and shared areas, keeping them orderly, safe, and updated with current outreach materials
  • File documents, maintaining and improving systems for organization and archiving
  • Sorting and distributing mail and deliveries
  • Provide administrative support to the Executive Director, including assisting in the coordination of Board of Directors meetings
  • Maintain staff meeting schedule and calendar invitations, and prepare and distribute staff meeting minutes
  • Support employee onboarding processes, including distribution of information and staff training
  • Assist with data entry, ensure consistency and accuracy in data, conduct quality control on data processes, and assist in creating effective data reports as needed
  • Act as liaison between staff, vendors, and developers for solving issues with multiple databases
  • Assist staff with payroll setup, entry, and troubleshooting.
  • Complete expense allocation spreadsheet
  • Take payments for programs
  • Prepare payment/deposit logs and make bank deposits
  • Make payments, print, and mail/distribute checks to vendors
  • Manage petty cash

Participant Support

  • Provide excellent customer service with friendly and knowledgeable in-person, telephone, and email support
  • Provide in-person translation support
  • Assist participants with the admissions process, including preparing, collecting, and filing paper and digital forms
  • Distribute up-to-date, accurate information to current and prospective participants; provide tours as needed
  • Assist with community and outreach events

Qualifications

  • Bilingual English and Cantonese or Mandarin strongly preferred
  • Bachelor’s degree preferred
  • Minimum 2 years work with administrative duties in professional office setting
  • Excellent communication skills, both written and verbal
  • Strong interpersonal skills and an ability to work collaboratively with others in a team environment
  • Critical thinking, flexibility, resourcefulness, attention to detail, and problem-solving abilities
  • Ability to manage multiple projects simultaneously, while staying on track for individual project details and deadlines
  • Skilled in Office 365 and the MS Office Suite, typing speed 50+ wpm, and proficient with office equipment
  • Experience with Salesforce, Form Assembly, and DocuSign preferred
  • Ability to work with a culturally diverse population and a variety of stakeholders and audiences
  • COVID-19 Vaccination Requirements: All employees are expected to be fully vaccinated, which includes current/available booster shots based on CDC recommendations.

Work Environment

This is an on-site position that will work from FCC’s two family resource centers, located in the Portola and Excelsior neighborhoods in San Francisco. This role routinely uses standard computers and phones to perform work duties.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk and hear. This job requires extended periods of time at a computer. The employee must lift and/or move items over 25 pounds on occasion. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
