Join our Center for Depression, Anxiety and Stress Research (CDASR) team, where we pursue groundbreaking research toward a better understanding and treatment of depression and anxiety disorders.   • Supporting two principal investigators in their daily administrative needs, the position also includes managing a prestigious Center grant investigating novel treatment targets for depression.
  • The position also includes assisting with grant submissions, overseeing departmental administrative needs including purchasing, travel and other operational functions.
  • Managing the social and web platforms for the program, outreach is also a very important component of the position
  • Interfacing effectively with Harvard Faculty and staff, the position is key to the smooth running of the department and the right candidate should have a strong interpersonal as well as administrative skills.
  • Serves as primary administrator to Dr. Pizzagalli (80%) and Dr. Rosso (20%), including: scheduling, making travel arrangements and
  • Assist in managing the Administrative Core for a NIMH Center grant, which requires coordination with several external collaborators.
  • Assist with grant submissions, including maintaining, updating, and sharing with collaborators important grant documents, including biosketches.
  • Assist with social media outreach, including creating and maintaining, for example, Facebook, Twitter or Instagram accounts.
  • Assist with web site maintenance (e.g. WordPress).
  • Organizes office operations, initiates and maintains office policies and procedures, and recommends initiative to provide increased office efficiency and effectiveness.
  • Liases with Accounts Payable, Research Finance, Development, Facilities, and other Partners wide departments as necessary.
  • May have PeopleSoft Manager Self Service responsibilities, including entering of performance appraisals, employee data changes, terminations, etc.
  • May have signatory authority for various requisitions, purchase orders, check requests and other documents within the scope of hospital policy.
  • Purchases and maintains inventory of supplies for the department. Evaluation of and ordering of supplies using eBuy system
  • Reviews all research travel reimbursement requests for accuracy and completeness before forwarding to Sr. Director of Research Administration for final routing
  • Performs other duties as assigned including diversified special projects that require analytic and evaluative efforts.

Qualifications - External

  • Associates degree and 3-5 years direct experience OR 6-8 years professional experience
  • Bachelor degree preferred
  • Requires substantial, demonstrated ability in exercise of judgment, discretion, independent action and initiative, and excellent analytical and communication skills.
  • Ability to work independently, to prioritize work, to anticipate deadlines, and to concentrate on and pay attention to detail.
  • Exemplary written and verbal communication skills; pleasant, courteous, and helpful telephone manner and professional demeanor for favorable "first impression".
  • Strong interpersonal skills necessary to be socially perceptive in accepting, relaying, and respecting confidential information, communicating policies and procedures, and dealing with individuals from variety of disciplines and diverse backgrounds, including influential people.
  • Proficiency with Microsoft Office applications (i.e., MS Word, Excel, Access, PowerPoint, Outlook) and web browsers. Expertise with website creation and maintenance a plus (e.g., WordPress)
  • Excellent record-keeping skills, office organizational skills, and computer literacy necessary for entering and manipulating statistical data, creating schedules, and maintaining detailed, accurate, and complete records of departmental activities and confidential personnel/training records.
  • Must be able to maintain strict protocols of all confidential or sensitive information
  • Strong experience with social media platform, which will be used to disseminate the lab’s scientific discoveries, make outreach to various stakeholders.
