Description
The Human Resources Administrative Specialist serves as the primary customer service contact regarding professional development, on-boarding new employees and working to maintain the Jackson College Culture. In addition to serving as a key contributor to the daily Human Resources operations, the Specialist will focus on the continuous improvement of the organizational culture by researching, planning, and providing opportunities for employee growth and recognition. This position requires a strong team-approach to daily work activities, ability to juggle and prioritize several projects at once and adapt to the constant development of new approaches.

Essential Functions

  • Provide comprehensive administrative support to day-to-day operations of HR, ensuring accuracy of processes, policies, and compliance with contract agreements.
  • Coordinate all adjuncts, JC and Edustaff, employment files. Process all adjunct absence reports, stipends, additional hours, and non-classroom terms of assignment.
  • In coordination with HR Director, maintain the system utilized to assure compliance with the Higher Learning Commission faculty qualification guidelines. Maintain faculty qualification information in the Colleague system including updating of licensing and credential expiration dates.
  • JC liaison with Edustaff, third party payroll partner working with adjuncts, coaches, and on-call banquet employees.
  • Handle all subpoenas regarding students and employees; notify departments, send requests, and provide results.
  • Coordinate coaching positions, employment files, issue annual pay schedules for payroll for each coach, set up payment plan and track coaches and their sport’s seasons.
  • Primary tracking and response for unemployment claims received.
  • In coordination with the Human Resources Director manage the Jackson College Leadership Academy and other professional development for all Jackson College employees. Develop programming, coordinate logistics, follow-up with participants and oversee entire process in developing Jackson College future leaders.
  • Manage the New Employee Orientation (NEO) process. Coordinate logistics, scheduling, and follow-up with new employees to ensure they are oriented to the JC community/culture and feel welcomed as they begin their employment, including managing the mentoring programs and mentors.
  • Annually manage the Outstanding Administrator, Staff and Faculty Awards. Coordinate the process, committees, communication, and parade to distribute awards.
  • Upon request, in coordination with the Director of Human Resources, meet with other institutions to provide benchmarking data primarily on our new employee process. Benchmarking data may also include evaluation process, compensation, and professional development.
  • Exercise individual judgment while dealing with potential or real troubles on own initiative, and appropriately determining when to bring them to administrator’s attention.
  • Coordinate Temporary Letter of Appointment requests, manage employment materials/files, set up web time reporting, and track each TLA start to finish.
  • Administer Employee Tuition Waiver program including tracking and accruals for all employees (Adjunct, Coaches, Faculty, Staff and Admin).
  • In coordination with the Director of Human Resources ensure the on-time completion of annual personnel evaluations across campus including Staff, Administrators and Probationary Employees.
  • Assist in scheduling on-campus wellness initiatives, professional development opportunities, and coordinate training events or programs, including Convocation, All College Celebrations and campus wide celebrations
  • Use Microsoft Office programs and know or learn how to efficiently use HR software packages. On a daily basis, this position will use Datatel and WEBI.
  • In coordination with the Executive HR Director, maintain the Human Resources Web Pages, including being an active member of the Web Liaison Committee.
  • Maintain the seniority list for both full and part-time Classified/Tech employees per the contract requirements.
  • Track part-time employee hours each term. Calculate and post leave time in Colleague per the contract requirements.
  • Cross train with other HR team members to provide back-up support during peak times and absences.
  • Responsible for understanding, supporting and actively demonstrating the College’s beliefs, values, mission, and vision and being in agreement to be evaluated by same.
  • Perform other duties as assigned by Executive HR Director and HR Director.

Education and Experience
Required:

Bachelor Degree or higher in Business Administration, Human Resources, Marketing, or related field and three years of human resources work experience.

  • Associates degree with at least five years of human resources work experience will be considered.

Knowledge, Skills and Abilities
Minimum

  • Experience with Human Resources practices
  • Working knowledge of Federal and State benefit related laws (i.e. HIPAA, FMLA, FSA, HSA, COBRA and Worker’s Compensation).
  • Experience with maintaining employee records
  • Experienced in administration of employee benefits
  • Ability to maintain strict confidentiality and accuracy when handling sensitive information, records, and reports
  • Contract compliance, records management tracking, and reporting experience
  • Excellent interpersonal skills and strong organizational skills. Ability to manage several projects at once
  • Proficient in Microsoft Office, Outlook, Excel, PowerPoint, and Database management
  • Demonstrated success in a customer service environment
  • Experience in developing and working within project budget, goals, objectives, and deadlines

Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, and technical procedures, manufacturing design documents or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills
Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
