The Center for Teaching and Learning is looking for a part-time employee to assist the grant directors and project activity directors in coordinating with Sacramento State. The Administrative Coordinator schedules meetings and events, performs budgeting, manages procurement, maintains, confidential records and performs, organizes data repositories and other related duties. This position will also assist in developing Faculty Professional Learning Program recruitment flyers, creating applications, and managing program correspondence with faculty participants. Additionally, the Administrative Coordinator will collect and organize program data, track and balance budget expenditures and maintain an internal controls manual containing project internal review board (IRB) research policies and fiscal procedures related to federal grant compliance and management.


Conditions of Employment

This is a part-time, temporary, non-benefited position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.

UEI does not allow employees to hold more than one UEI Job at a time or work in more than one account per pay period. UEI employees who are considering leaving their current UEI position for a different UEI position should inform their supervisor in writing and provide at least a week’s notice.

Work Schedule

F lexible workdays and work hours, Monday – Friday, between 8 AM – 5 PM. Final work schedule to be determined by supervisor.


Additional Work Schedule

Casual employees are limited to 19.5 hours per workweek (Sunday – Saturday).


Minimum Qualifications

  • Demonstrated professional experience in a customer service position within an office or other administrative environment.
  • Demonstrated skills in current office operations, procedures, and practices including word processing, spreadsheet use, in-person and online meeting organization, and telephone reception.
  • Excellent written and oral communication skills including detailed proofreading ability (grammar, spelling, and punctuation) and ability to effectively communicate in a team environment.
  • Demonstrated knowledge of basic budget creation, balancing, and maintenance.
  • Demonstrated ability to work effectively and cooperatively with faculty, staff, and students.

Duties and Responsibilities

  • Screens telephone calls and greet and assist visitors. Determines the nature of the call and whether the call can be handled personally or must be referred.
  • Provides general information and assistance to project faculty and staff.
  • Performs clerical functions such as typing, word processing, proofreading, using spreadsheets, taking and transcribing minutes, computer data entry, and related tasks to facilitate the operation of STEM4Equity.
  • Organization of applications and coordinating the review and ranking under the guidance of program Lead Facilitators. Post award, disbursement of funds as well as archiving and recording products and presentations that result from these programs.
  • Maintains calendar of activities related to the STEM4Equity grant. Reminds staff of scheduled events and re-schedules appointments or meetings as necessary to accommodate unexpected changes in priorities or work schedules.
  • Monitors and maintains the program budget and related records.
  • Works with the UEI Payroll department to create faculty agreements, purchase orders, service contracts, and resolve budget discrepancies.
  • Establishes and maintains STEM4Equity project files and record keeping systems including project evaluation data, program curricula, budget documents, and transfer of funds between university and UEI accounts.
  • Monitors and maintains accurate inventories of project supplies and equipment, including computers and instructional materials.
  • Schedules facility reservations and prepares travel requests and vouchers for project events and activities. Coordinates travel arrangements for project participants.
  • Prepares documents, data, and meetings to meet quarterly and annual grant report requirements.
  • Performs other duties as assigned by the Project Director to ensure the success of the program and its participants.

Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers, and scanners with or without reasonable accommodation.
