Job Summary:
Responsible for ensuring efficiency and accuracy of operations, processing, and monitoring incoming/outgoing payments, and securing revenue by verifying and posting receipts. Provides financial, administrative, and clerical support by recording payments for goods and services and resolving any discrepancies according to established policies and procedures, in an accurate and timely manner.

Reports directly to: Vice President, A/R Manager/ Controller.

Supervisory Responsibilities: None

Duties and Responsibilities:
  • To assist in receivable billing and transaction documentation.
  • Compiling work from project managers and production reports and adding to material received for the recording period and presenting to the contractor for payment.
  • Make additions and takeoffs for Material on Hand for each month based on invoices received and work completed.
  • Create and submit forms needed for payment, such as lien releases, payment applications, schedules of values, and invoices.
  • Make calls or send emails to collect payments not received.
  • Create subcontractor billing sheets from contractor’s payments, submitting two copies to A/R Manager, with backup from the subcontractor.
  • File all job-related paperwork including contract-related documents, quote letters, billing estimates, invoices, check copies, and any other reports into job folders in filing cabinets.
  • Create extra work invoices for items outside of the contract scope and submit them for payment.
  • Examine for additions to the contract from added letters, change orders, and extra work. Update billing and contract revisions spreadsheet, as approved.
  • Set up new jobs from contract consisting of billing sheet, invoice, and contract revisions spreadsheet.
  • Print and save the job estimates from the TXDOT website monthly.
  • Save MOH sent by Contracts Administrator to Job Folders electronically.
  • Print the job cost report as available from Interac and update the Job Cost Review report noting any discrepancies.
  • Pull files from AP, AR, Estimating, MOH, PR, and box jobs as they are closed.
  • Assist with the yearly audit. Pulling numbers, filling in financial detail spreadsheets, and forming and proofing letters to contractors. Once received, assist in any needed justifications for non-agreed-upon responses.

Required skills and abilities:
  • Knowledge of general accounting principles, regulatory standards, and compliance requirements.
  • Proficiency in MS Office, including the ability to operate computerized accounting and spreadsheet programs.
  • Ability to calculate, post and manage accounting figures and financial records.
  • Excellent analytical, problem-solving, and decision-making skills.
  • A high degree of accuracy, attention to detail, and confidentiality.
  • Demonstrates a sense of urgency and ability to meet deadlines.
  • Ability to work independently or as a team member.

Education and Experience:
  • A High School diploma is required.
  • 5-7 years experience in accounts receivable or similar role.
  • Construction accounting experience is a plus, but not necessary.

Physical Requirements:

This job operates in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand, as necessary.
