Reports to: Arctic Beringia Regional Business Manager (Carrie Haddad)

Location: Fairbanks, Alaska

Country Program/Sector: North America Program, Arctic Beringia

Position Type: Part-Time Permanent

Hourly Rate Range: $20.00 - $25.00/hour depending on skills and credentials

Internal liaison: Arctic Beringia Regional Director (Martin Robards)

Expected travel: 95% of position’s time will be spent in Fairbanks, 5% time potentially traveling for WCS meetings and trainings

Organization Background:
The Wildlife Conservation Society (“WCS”) is a New York not-for-profit corporation founded by statute in 1895 as the New York Zoological Society. Program Overview:
The WCS Arctic Beringia Program aims to protect Arctic wildlife such as polar bear, wolverines, walrus, arctic fox, muskoxen, seals, and shorebirds from pressures related to a rapidly changing climate and the onset of new industrial development. At the same time, WCS works to ensure the region’s communities can continue to depend on local resources for food, as well as economic and cultural vitality. Implementing conservation in such a rapidly changing environment can only be effective through working with scientists, local experts, and Indigenous communities. Our geographic focus spans from the Russian far-east, across the North Slope of Alaska, and into western Canada. The Arctic Beringia program also leads conservation efforts for Arctic breeding birds across the migratory flyways adjacent to the Pacific. Finally, based in Fairbanks, our work also engages directly with local efforts to reintroduce wood bison across their historical range.

Job Summary:
The WCS Arctic Beringia Program Officer will assist the Regional Business Manager in carrying out the administrative duties of the program, which include: fundraising, budgeting, grant/financial management, procurement, inventory monitoring, and donor reporting. This position will also coordinate with the Regional Director and staff scientists on other programmatic needs, which may include: booking travel, running errands, and local procurement. The Program Officer provides an important support role in the office, and duties will vary from day to day. This position requires a person who thrives in a flexible work environment, is keen to learn about and gain mentored experience in non-profit management, and is eager to be part of a team.

Major Responsibilities:
  • Fundraising: Assist in identifying grant opportunities, coordinate with staff scientists on applicable projects, and work with Regional Business Manager to draft budgets
  • Budgeting: Assist Regional Business Manager on monthly and annual budgeting forecasts, both by project and the program as a whole
  • Grant/Financial Management: Review funding agreements to ensure compliance with terms, assist Regional Business Manager in processing and monitoring expenses to ensure spending within award budgets, build each grant into a management system (for example, ClickUp) to periodically review progress toward grant objectives
  • Procurement: Identify purchasing needs for each grant, and follow procurement guidelines as required to fulfil orders (i.e. drafting RFQs and vetting quotes/vendors, working with purchasing department in NY to place and receive orders, etc.)
  • Inventory Monitoring: Build all inventory purchases into database (for example, EZ Office), develop procedures for check-out/check-in, and complete physical inventory annually
  • Donor Reporting: Assist Regional Business Manager in tracking due dates, coordinating with program ecologists on narrative reports, and reconciling budget-to-actuals for financial reports
  • Other Duties: As assigned to support programmatic and financial management of program
Qualification Requirements

Bachelor’s degree in business related field (accounting, management, finance, etc.), OR
Junior/Senior standing in accredited business program AND 1-year experience in office setting
Excellent organizational skills, including ability to set and follow priorities, take initiative, work on multiple items simultaneously, and meet deadlines
Strong interpersonal and communications skills, including writing and editing
Fluency in Word and Excel (working knowledge of accounting systems is a plus)
Comfortable operating in a dynamic environment and responding quickly to sudden needs and opportunities
Spoken and written fluency in English required (Russian or Indigenous language skills a plus)
Other desirable skills: graphic design, web design, GIS, cartography
