Reporting to the director of the arts and working alongside faculty, chairs and directors, the assistant director of production is responsible for overseeing the successful and timely execution of all production elements for the Gordon Center for Creative and Performing Arts resident departments including the Arts Office, the Departments of Music, Performance, Theater, and Dance, and Cinema Studies; advancing Colby's commitment to the arts in Waterville, Maine and ensuring that the production staff culture is positive, efficient, inclusive, and collaborative. The assistant director of production's responsibilities include hiring and supervising Gordon Center facilities staff and contractors; creating and supervising production department budgets; planning, creating, and managing the master arts calendar and Gordon Center production calendars; and interdisciplinary productions, touring artists, studios, and incubator spaces at the Gordon Center.

This role oversees responsibilities in year-round calendar scheduling including festival season, rehearsal scheduling, presentation management, technical and production management, safety protocols, company management, logistical planning, and collective and individual negotiations. It contributes to budgeting and forecasting, venue management, payrolls, and personnel management. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Oversee all technical operations, budget, contracting, and maintenance for events and performance spaces on and off campus including the Gordon Center and ground floor of Greene Block + Studios. Function as a project manager for collaborative arts events, festivals, and related engagements, assuring the level of excellence of artistic and production standards are met for the Gordon Center and downtown stages
  • Work with Gordon Center resident and non-resident departments and visiting artists to assist with rehearsals and performances, including the scheduling of equipment turnover - load in and load out
  • Maintain a broad knowledge of state-of-the-art technology, equipment, and/or systems and participate in professional development activities as appropriate
  • Work closely with the building manager and facilities team to ensure that all spaces throughout the facility adhere to the safety and health standards
  • Review technical riders for visiting productions to ascertain technical needs, advise stakeholders on the feasibility and budget implications; make arrangements for special staging, rental equipment, over-hire needs, etc.
  • Oversee maintenance and care for sound, video, lighting, recording, equipment rental, makerspaces, and staging requirements
  • Work with the the Office of Special Programs to advise on productions, presentations, and ancillary programming within the Gordon Center for Creative and Performing Arts
  • Facilitate clear and effective communication throughout the production process; maintain a positive and encouraging learning environment
  • Serve as the primary contact for all touring productions, artists, and scholars hosted by The Arts Office; manage online department information pertinent to these individuals and companies
  • Recruit and oversee student employees for productions sponsored by The Arts Office
  • Attend selected rehearsals and technical rehearsals to mentor students and to collaborate with colleagues
  • Manage systems that enhance seamless creative and performing arts operations alongside facilities staff
  • Work directly with the Gordon Center building operations manager, technical directors, Arts Office planning team, and related administrators to coordinate production related hires
  • Work with academic and programming departments to assess and develop schedules and production crews for events in performance spaces on and off campus
  • Operationalize artistic planning, ensuring that artistic quality and direction is in line with Colby's strategic priorities
  • Oversee the incubator spaces and development of new works—across multiple disciplines; anticipate and plan resources to produce a successful season; understand and foresee flexibility in artistic programming changes; lead the creation of co-production and co-commissioning consortia; and anticipate and plan resource allocation for all stage technical and production functions
  • Participate in long-term artistic planning with the Gordon Center faculty chairs and directors and Arts Office and operationalize strategic planning
  • Secure necessary rental or loan items (e.g., lighting instruments, special speaker setups, pianos and other instruments)
  • Negotiate in-house rep lighting, A/V, and rigging systems needed to remain in place for departmental use
  • Prevent contractual liability on the part of the facilities by reviewing the technical riders of contracts for prospective performers to determine technical requirements and fulfilling the technical requirements with existing or rental lighting and sound equipment

QUALIFICATIONS:

  • Bachelor's degree or the equivalent in education and experience
  • Minimum three years of experience as a production manager or as a member of a production management team with progressively responsible roles
  • Previous experience conducting contract negotiations and managing contacts
  • Experience managing project budgets, creating a production timeline, and managing effective teams
  • Demonstrated proactive and creative approach to problem-solving with strong decision-making and critical thinking capabilities
  • Must be able to manage multiple complex tasks simultaneously
  • Excellent time management skills; deadline driven with proven ability to manage changing priorities
  • Must be flexible, organized, have strong attention to detail, show initiative, and have a results-driven philosophy
  • Experience managing and adhering to operating budgets and production budgets
  • Excellent written and oral communication skills
  • Proficiency with Microsoft Office Suite and Google Suite
  • Advanced knowledge of Microsoft Excel and Google Sheets is preferred
  • Excellent leadership skills
  • Ability to work independently and as a member of a team, establish priorities, and work collaboratively as a member of a diverse community

  • Valid driver's license required and must meet the College's Fleet Safety Policy requirements

KEY RELATIONSHIPS:
Duties require interactions with faculty, students, staff, and community partners. The assistant director works closely with the Colby Arts Office, Facilities Services, faculty department chairs, production teams (the Departments of Music, Performance, Theater, and Dance, and Cinema Studies), box office staff, and departmental academic administrative assistants.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:
General open office and campus environment. Position involves sitting, although frequent movement is necessary. Computer usage involving repetitive hand/wrist motion is also necessary. Some evenings and weekends required.
