Job Summary/Basic Function

The Associate Director – Student Accounts will provide in-depth information and efficient, accurate, and timely service related to student accounts for a diverse and multicultural population of students, faculty and staff of the University. The position resides within the Division of Operational Excellence, which includes many operational areas, including Financial Aid, Student Accounts, Veterans Services, Registration, One-Stop Student Service, and Enrollment Services. The main function of the Associate Director – Student Accounts within the Student Financial Services team, is leading the student accounts function, overseeing billing operations, and third-party invoicing, in addition to supporting the integrated functions of the Division of Operational Excellence as they relate to faculty, staff, students, parents, alumni and the other members of the Team. The successful candidate must be committed to fostering a culturally diverse atmosphere for faculty, staff, and students.

Duties include but are not limited to:

  • Manage and administer the University's billing procedures and enterprise student account and electronic billing systems, including set up of billing tables per semester and ongoing maintenance, posting charges, verifying account balances, and managing process for non-payment. Ensure all systems integrated in the billing system are maintained and operational.
  • Administer all third-party (sponsored) billing of student accounts in an accurate and timely manner.
  • Generate and issue annual 1098-T forms in compliance with federal regulations.
  • Coordinate and provide information regarding tuition payment plans/options for students and parents. Provide information on debt counseling to students and parents.
  • Supervise staff dedicated to student accounts, bad debt, and payment advising functions. Directly oversee all collection efforts and refund procedures, in compliance with all state and federal regulations, and posting of all account adjustments.
  • Monitor, review, and respond to cases and calls related to Student Accounts along with team members. Take escalated calls as needed.
  • Oversee processing of various transactions, including, but not limited to, book vouchers, apple vouchers, fees, and fines.
  • Assist the Senior Director of Student Financial Services in establishing policies and procedures to ensure positive, effective and open relationships with all clients, including students, parents, faculty, and administrators, as well as new initiatives and special projects.
  • Prepare monthly, quarterly, and annual reports for the Finance Office and assist with annual audits related to student account receivables.
  • Serve as a member of the Division of Operational Excellence, contributing to the overall office environment and functions such as interfacing with students, parents, alumni, and other constituents regarding student accounts, financial aid, and registration questions and concerns. Support the integrated functions of the Division of Operational Excellence as they relate to training, cross-training, and support.

**This position is hybrid, with both in-person and remote work. This person typically works on campus once a week, except during peak times and events, which require more on-campus.

Minimum Qualifications

  • Bachelor degree from an accredited university
  • Minimum of 3 years of professional experience in higher education
  • In-depth knowledge base in student accounts, including knowledge of federal, state, and private rules, regulations, and guidelines governing the administration of general accounting principles for student accounts.
  • Knowledge of integrated software systems as well as Windows applications, document imaging systems, file management, and Microsoft Word and Excel, and the ability to learn new systems
  • Excellent customer service, written, and interpersonal communication skills
  • Ability to actively listen and be empathetic, sensitive, and diplomatic when discussing issues with students
  • Ability to maintain confidentiality regarding sensitive financial and personal information
  • Ability to work in a fast-paced, constantly changing environment
  • Ability to make decisions independently
  • Ability to understand complex processes and anticipate how changes impact other areas
  • Ability to analyze existing processes and take the initiative and/or make appropriate suggestions regarding process improvements
  • Ability to multi-task and work in an open office atmosphere

Preferred Qualifications

  • Masters degree
  • Financial Aid, Bursar or Student Accounts, Enrollment Management, or Information Technology experience
  • High comfort level with technology and integrated system-process thinking
  • Experience with Ellucian Colleague / SIS systems
  • Experience with Salesforce Communities / CRM systems
  • Experience with TouchNet
