Case Aide - Children's Services Job at Chisago County
Job Summary
Provides office support to staff members in the Child Protection Unit, as well as SSIS Mentoring. To assist social workers and Children"s Services Supervisor serving the clients through completion of the following tasks; client transportation, arrangement of transportation, data entry and assuring data integrity, supervised visitation, completion of forms for collateral providers, assistance in filling out forms for ICWA/MIFPA and sending them to the correct tribes, assistance in locating tribes when they are unknown, escort for transport of young children, assistance in triage of client"s needs; assistance in returning calls, assuring contact with clients in a predictable manner outside of crisis, monitoring file for all audit documents, preparing material to send to the County Attorney, retrieving medications/clothing for children requiring placement and other duties as assigned. ESSENTIAL DUTIES AND RESPONSIBILITIES
I. Billings Discretion C % 15
A. Assist in completing notices to Child Support, Accounting, and Income Maintenance, when a child enters, moves from original placement, or leaves and out-of-home placement.
B. Assist vendors/collateral providers with problems.
II. Assist social workers with case documentation and reporting requirements. Discretion B % 25
A. Have knowledge of case file system and attend PRT meetings to be able to assist with entry and retrieval of Placement Plans, Administrative Reviews, Service Plans/Agreements, Quarterly Reviews, case closings, etc.
B. Help the social worker complete Medical Assistance applications and ensure completion of IV-E applications when appropriate.
C. Assist social worker with ICWA/MIFPA notices - paperwork and sending the notices via registered mail.
D. Other assistance as requested by social workers and approved by supervisor
E. Responsible for collecting all data critical to IV-E Eligibility Determination and assume maximum compliance.
F. Assist social workers with requesting records from collateral sources and other professional agencies.
G. Assist Children"s Services Supervisor with special projects at the direction of the supervisor or Division Manager. (i.e. New programs and/or trainings)
III. SSIS Discretion B % 10
A. Reports as required or requested, make corrections as necessary, and distribute to appropriate staff.
B. Assist supervisor, as requested, in completion of quarterly and semi-annual statistical reports to DHS.
IV. Program Evaluation and Research Discretion B % 10
A. Compile statistical reports from computer information as requested by supervisor.
B. Other evaluation and research duties as assigned.
C. Audit preparation.
V. Miscellaneous Duties Discretion A % 40
A. Assist with case record filing - monitor for all audit documents.
B. Complete requests for case information following agency policy and the MN Data Practices Act as it pertains to redacting the information.
C. Make copies as requested.
D. Attend staff meetings.
E. Scanning of Investigation and Assessment files.
F. Attend training as necessary. Help to keep track of social worker training hours, arrange trainings as requested by supervisor.
G. Assist in transporting or arrangement of transportation of clients as requested and approved by supervisor. Escort for transportation of young children.
H. Assist with supervised visitation.
I. Assist in returning calls, assuring contact with clients in a predictable manner outside of crisis.
J. Prepare material sent to County Attorney, i.e., case notes for discovery, organizing files for data entry/review for court.
K. Retrieve medications/clothing for clients requiring placement.
L. Other duties as assigned.
Desired Minimum Qualifications
1. Three years of successful clerical experience and/or experience working with the public, or the equivalent OR
2. Two years of successful clerical experience in a social services/human services agency OR
3. Two years of experience as a Community Service Aide or similar experience in a private non-profit agency or other public agency OR
4. Two years of study at an accredited two- or four-year college/university or similar institution, with emphasis in the behavioral sciences (at least 23 quarter credits or 16 semester credits.)
Knowledge, Skills and Abilities

1. Computer literacy and data-based systems knowledge preferred or ability to learn such systems.
2. Knowledge of the methods, values, purposes and principles of social work.
3. Knowledge of community resources.
