Job Summary:

The Certified Medical Assistant/Patient Service Representative will be stationed at our new Mobile Health Unit, Wellness on Wheels (WOW) in Philadelphia. The Medical Assistant/Patient Service Representative will be responsible for administrative and clinical support services. Family Practice & Counseling Network has a rich history of providing nurse-managed, integrative health services and is excited to provide mobile community health services via its new health unit: The Wellness On Wheels (WOW) mobile. The WOW will have an intended objective to:

  • Increase access to health care in underserved communities, including
  • COVID testing and vaccination on a van in the community, providing counseling for what to do if tests are positive – contact tracing, managing isolation, additional tests; and
  • Primary care, inclusive of preventative HIV and family planning services, behavioral health services, and oral health care on the van, and providing connection to follow-up and ongoing services in FPCN comprehensive sites.
  • To improve health literacy, understanding of healthy behaviors, and trust of health messaging – both COVID-related, such as vaccine hesitancy, and general – in underserved communities.
  • To increase access to benefits and services that address Social Determinants of Health, including health coverage, food, income, housing, legal, and disability services.

Team members are expected uphold the health center mission by assuring that patients receive health care that is competent, caring, and meets with a high degree of satisfaction.

Responsibilities/Duties:

Direct Patient Care:

  • Assist in the courteous and efficient management of connecting patients and guests who are physically in the office and those individuals who are on the phone with the appropriate services and/or staff in a timely and accurate manner.
  • Initiate services for patients which involve: signing-in, updating basic demographic information, confirming payment method, validating health insurance coverage, and preparing necessary paper work. Additional services may be warranted depending on if the patient’s status is new or established and if the patient seeks more specialized services.
  • Manage phone calls coming in to the front desk by directing calls to appropriate staff members and facilitating documentation of messages (i.e. electronic, hand-written).
  • Schedule appointments for patients.
  • Call before their scheduled visit to remind them to keep their appointment.
  • Constantly update and utilize pertinent information about the health insurance carriers that the Practice accepts.
  • Insure all patient billing forms are correct, accurate and batched according to the patient sign in sheet on a daily basis.
  • Prepares the environment to assure that the all necessary equipment/information is available for effective and efficient care during the visit.
  • Greets the patient and helps the patients feel prepared for their visit.
  • Completes vital signs, weight and height, EKGs, eye and hearing exams, as assigned.
  • Assures that all documentation is correct and complete.
  • Works with the CRNP to provide comprehensive care.
  • Maintain medical records using standard filing systems.
  • Performs inventory control and ordering supplies, as assigned
  • Initiates and performs rapid HIV test, including consent form.
  • Completes all necessary paperwork.
  • Assists with therapeutic procedures.
  • Prepares and administers medications as ordered.
  • Collects and preserves bodily fluids, blood, and other specimens.
  • Performs simple STAT screening tests on collected specimens.

Indirect Patient Care:

  • Prepares forms for visit.
  • Prepares and forwards requests for referrals as assigned which may involve all or some of the following: obtaining health insurance authorization, completing referral form, making referral appointment for patient, coordinating on-site Transportation Services, and notifying patient when referral is complete.
  • Prepares and forwards request for medication refills as assigned.

General Laboratory Services:

  • Performs a variety of standard lab tests with standing orders from primary care providers (including but not limited to blood sugars, urine dip, etc).
  • Prepares laboratory specimens to assure the correct information.
  • Completes all paperwork and forms related to the handling of specimens and document all actions in the patient record.
  • Records receipt of lab results, tracks results not received, and forwards all results to primary care. By direct order of primary care provider, records test/procedure results in the patient record.

Maintenance of Laboratory-Related Equipment and Supplies:

  • Takes inventory of supplies on a regular basis, order supplies, and store upon their arrival.
  • Ensures lab equipment properly maintained which includes knowledge of routine handling/usage, storage, and cleansing/sterilization. Have equipment serviced at recommended intervals according to manufacturer’s and/or OSHA guidelines.

Triage:

  • Assists the primary care providers and clinical nurse in collecting information related to triaging patients.

General:

  • Consistently practices universal precautions.
  • Participates in relevant Practice committees.
  • Performs additional duties related to the responsibilities of the Medical Assistant as directed by supervisor.
  • Substitutes for Medical Assistants at other practices, when deemed necessary by supervisor.
  • Supports smooth functioning of practice by completing data entry as assigned.
  • Receives cross-training as a Medical Receptionist and substitutes for this role at the Practice when deemed necessary by supervisor. This includes scheduling, registration, updating patient records, answering phones and other duties as required.

Required Education:

  • High School Diploma/GED

Required Experience:

  • At least one (1) year of experience as a Medical Assistant & PSR

Required Qualifications:

  • Current Medical Assistant Certification in Commonwealth of PA through an accredited licensing board (NHA, ACMA, etc.)
  • Familiarity with an Electronic Medical Record system
  • Ability to travel
  • Computer Competency with Word Processing
  • Exemplary organizational skills and ability to prioritize
  • Ability to function as a team member
  • Highly responsible and reliable as well as courteous
  • Unconditional ability to maintain patient confidentiality

This mandate became Effective on August 16, 2021 and requires Healthcare Workers and certain workers at Healthcare Institutions to be fully vaccinated by October 22, 2021. Fully vaccinated means it has been two weeks since the final dose of vaccine. Thus, we now require vaccination prior to start for all new hires.
