Job Summary:

Under minimal supervision, provides a wide variety of administrative support duties both technical and clerical. Primary responsibility is for the tracking and rectifying of department’s client invoicing. Additionally, responsible for handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The position supports the goals of the department by compiling reports and entering information into appropriate databases. The position prepares reports from notes, research records, and instructional documents such as abstracts and resumes. Will assist with general new hire onboarding including, but not limited to, monitoring background checks, references, completion of transition management and setting up technology access and work areas.

Education- A high school diploma or GED Certificate is required. Associates Degree preferred

Experience - Minimum of three to five years of clerical experience.

  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Proficient in business invoicing techniques and requirements
  • Knowledge of word processing and data entry systems.
  • Knowledge of medical terminology.
  • Knowledge of time and attendance editing practices.
  • Possesses excellent customer service skills.
  • Excellent verbal and written communication skills as well as good interpersonal human relation skills.
  • Skilled in managing high volume workload from multiple managers.
  • Strong oral and written communication skills.
  • Ability to work independently and be self-directed.
  • Ability to demonstrate professional work behavior by following guidelines as established by policies and procedures.
  • Skill in filling out forms and completing paperwork relative to the work assignment.
  • Ability to create, store, edit, format, print, and revise tables, reports, forms, labels, and other printed material using the available software.
  • Recognizes, initiates, and leads improvement efforts through initiative, judgment, tact, and discretion.
  • Ability to organize workday to manage multiple, simultaneous projects.


Essential Duties and Responsibilities

  • Responsible for tracking and rectifying departmental invoices
  • Generate, track, and rectify all 1197 paperwork for purchases and contracts
  • Identifies and utilizes the most cost-effective services and vendors
  • Provides administrative support and assistance to department managers.
  • Supports Sr. Recruiter with new hire onboarding responsibilities
  • Follows written and verbal directions and completes assignments without unnecessary delays.
  • Begins and completes responsibilities in a timely manner and adheres to work schedule.
  • Establishes follow-up systems to monitor work progress.
  • Demonstrates a willingness to learn new techniques, methods and to participate in new programs and other system changes.
  • Attends training courses provided by the organization as necessary.
  • Performs clerical duties as assigned such as meeting minutes, calendar adjustments, and email correspondence.
  • Maintains and continually develops competence with office technology.
  • Assists in the development and maintenance of department websites as requested.
  • Is polite, courteous, and helpful to all callers.
  • Establish, develop, and maintain a filing system(s)
  • Complete Time and Attendance edits as determined by department managers
  • Prepare financial, outcome, and department specific reports and documents for managers
  • Files and maintains records, correspondence, and other paperwork.
  • Ensures ability to retrieve documents as needed.
  • Maintains needed office supplies for self and assigned manager assists in budget management and expenditure controls
  • Uses good judgment and discretion relative to order quantity of supplies and other purchases

Location- 1391 Speer Blvd. Schedule will be a balance of on site and some remote (if desired).
