Job Description


This is a 1404 Clerk position in the Family & Children Services Program. The person in this position will provide critical clerical support to both supervisors and Protective Service Workers.

According to Civil Service Commission Rule 109, the duties specified below are representative of the range of duties assigned to this job class and are not intended to be an inclusive list; may include additional duties as assigned.

Essential duties:

  • Maintain a current case record system, utilizing automated systems including CMS and other systems.
  • Create case folders for each child, checking CMS to verify consistency of the case numbers assigned.
  • Complete an assignment and transfer of cases (both CMS and hard copy after the supervisor has reviewed and authorized the case for assignment or transfer).
  • Print reports from CMS as directed by the supervisor.
  • Answer telephone and take messages as back-up in the unit and give messages to the appropriate person promptly. In an emergency situation, the duty worker or supervisor would be paged.
  • Enter record of contacts in the CMS notebooks from a hard copy as assigned by the supervisor.
  • Enter changes from form 1502 and form 1132 into CMS notebooks as directed by the supervisor.
  • Make photocopies of various reports, documents and forms as specified on the copy docket. Immediately notify supervisor if the time line requested on the docket cannot be met.
  • Type brief memorandums, letters and various forms required by the department.
  • Order supplies as needed for the unit.
  • Attend training sessions, meetings, and supervision sessions as directed by the unit supervisor.
  • Provide back-up coverage in the absence of other clerks.

Qualifications


Experience:
One (1) year of clerical experience including preparing and maintaining a variety of records and/or documents, filing, use of office equipment, public contact and processing of incoming and outgoing mail.

Substitution:

Any one of the following may substitute for six (6) months of the required experience:

  • Completion of a clerical training program (240 hours); OR
  • Fifteen (15) semester units (or equivalent quarter units) of coursework from an accredited college or university; OR
  • Completion of an approved City and County of San Francisco Clerical Administrative training program.

Selection Procedures

If this becomes necessary, only those applicants whose qualifications most closely meet the needs of the Department will be invited to continue in the selection process. Applicants meeting the minimum requirements are not guaranteed advancement in the selection process.
