      Position Summary
      Classified as: Administrative Analyst/Specialist I (Non-Exempt)

      Full-time position available on or after March 20, 2023 for Admissions.


      Under the general supervision of the Interim Director for Admissions and Outreach Services, this position will provide communications and marketing support to the department by maintaining and implementing the communication plan for undergraduate admissions, creating marketing campaigns for various events and initiatives, and maintaining the department's webpages. In collaboration with the Director of Admissions and Outreach Services, the incumbent will create and execute recruitment marketing for undergraduate enrollment, including admissions-related literature, digital assets, and email templates.


      Job Duties

      Duties include but are not limited to:
      • Collaborate with department leadership to create marketing strategy for campus visits, events, and other initiatives for the recruitment year.
      • Develop and implement a comprehensive marketing plan to support event attendance, campus visits, and yield. This includes, but is not limited to, designing flyers, brochures, emails, and promotional material for print and electronic distribution.
      • Create and design marketing assets, including viewbooks/brochures, landing pages, websites, reports, presentations, PDFs, and info-graphics that adhere to university branding guidelines.
      • Edit and update marketing materials as needed.
      • Create and distribute documentation and reporting on campus visits and event attendance.
      • Manage the design, print and fulfillment of print materials and promotional items.
      • Work with internal and external partners to create and implement communication plan for recruitment of undergraduate students, including emails, print mailings, text messages, social media posts and outbound calling.
      • Provide ongoing reporting on key performance metrics related to the undergraduate communication plan.
      • Develop and maintain email templates in department CRM.
      • Communicate with CRM vendor to troubleshoot issues as they arise.
      • Manage mailing, including but not limited to the download, import and printing of admission letters, troubleshooting issues, and ensuring inventory is available to complete mailing jobs.
      • Maintain department websites for Admissions and Outreach Services and Enrollment
        Services to ensure dates, deadlines, and other pertinent information is accurate and up to date.
      • Report on marketing performance and recruitment data to inform enrollment marketing decisions and budget.
      • Maintain database, which contains information on all prospective students, applicants, and current students.
      • Import, export, update, format, create filters, build queries, and purge student records as required to ensure data integrity.
      • Run and update queries from PeopleSoft.
      • Provide ad hoc reports and communication plan updates as requested.
      • Update and maintain the university's academic catalog on an annual basis.
      • Provide technical support for the Events and Mailing modules in CRM, manage registration set up and maintenance for outreach events, including creating and updating event templates and respective communication plans.
      • Serve as backup for other Communications Specialists in the unit.
      • Participate in Open House, Counselor Conferences, and other outreach events.
      • Other duties as assigned.

      Minimum Qualifications

      Education:Bachelor’s degree and/or equivalent training OR a combination of education and experience which provides the required knowledge and abilities.

      Experience:Minimum of two years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

      Preferred Qualifications


      • Ability to create marketing initiatives and materials.
      • Ability to ensure that jobs adhere to Stan State brand and graphics/editorial guidelines.
      • Ability to prepare and package files for print.
      • Demonstrated experience using PeopleSoft Administration System, CRM (Radius by Campus Management), and Cal State Apply.
      • Demonstrated experience using applications in the Adobe Creative Suite.
      • Demonstrated ability to develop digital and print communications for prospective students.
      • Thorough knowledge of English grammar, punctuation, and word usage.
      • Excellent communication skills.
      • Experience with developing reports using reporting software such as PS Query.
      • Working knowledge of and ability to apply standard theories, principles and practices applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
      • Ability to anticipate problems, and address them proactively.
      • Thorough knowledge of University policies and procedures and outside regulations pertaining to work and/or administrative specialty.
      • Demonstrated ability to effectively interpret, organize and present information and ideas in written or presentation format.

      • Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
      • Ability to organize and plan work and projects including handling multiple priorities.
      • Ability to make independent decisions and exercise sound judgment.
      • Ability to compile, write, and present reports related to program or administrative specialty.
      • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.

      Salary Range

      Anticipated salary will be $3,518 – $3,869 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full Administrative Analyst/Specialist I (Non-Exempt) range: $3,518 - $6,791 per month)
