Birchview Memory Care in Sedro-Woolley, WA is looking for a Community Relations Director, to become an essential part of our exceptional leadership team.

Responsible for responding to and following up with all inquiries, tracking and maintaining accurate records for all leads as well as establishing and maintaining referral sources and networking opportunities. Responsible for successful sales closing resulting in new move-ins to increase and/or maintain budgeted occupancy. Demonstrate leadership among team members and ensure a smooth move-in process for all new Residents. Essential Duties and Responsibilities: To achieve at least 5 move-ins per month or 95% and above occupancy. Coordinate new resident needs with appropriate community staff members. Maintain ongoing relations with key community referral sources that result in receiving leads and move-ins. Provide at a minimum, monthly marketing related (answering the telephone, evenings/weekends inquiry sheet, tour guide) training for the entire staff. Prepares and implements marketing plan in accordance with SSA guidelines identifying key tasks and activities that will result in creating awareness of the community’s services and amenities. Completes competitive analysis at least two times per year identifying pricing and services being provided in the market as well as incentives or promotional trends. Focuses on marketing and income producing activities that directly impact occupancy, avoiding involvement with daily operations functions. Redirects operational issues to the Executive Director for resolution. Responds to all inquiries in a timely manner (immediately if possible) and updates and maintains the lead tracking system (Yardi) on a daily basis. Determines the source of origin for each inquiry and documents in Yardi. Takes sufficient time with each inquiry and answers questions and follows up as necessary to assure all potential residents, family members and referral sources have the necessary information to make accurate, informed and educated decisions about the community. Give the responsible family member/party(s) move-in packet with necessary forms for move-in including the financial worksheet and resident application forms. Communicate any special resident requests or needs with Executive Director and Director of Wellness. Establish initial set-up of resident in Yardi. Shares the “Meet/Get Acquainted with our Team” hand out with the resident so the resident and family knows who to contact for billing questions, dining requests, nursing assistance, transportation needs, activities and maintenance requests. Creates an easy transition for the resident from marketing to operations staff. Develops a “Primary Resource Program” for elder housing information. Accumulates a data bank of community resources so that referral sources consider the Community Relations Director and /or Community as the “First Call Option” whenever a question concerning elder housing arises.

Accomplishes marketing and occupancy related reports as directed by the Executive Director. Analyzes, develops and communicates marketing techniques or programs that may be effective in local marketplace to Executive Director and SSA Management team. Prepares and maintains appropriate statistical data recapping both occupancy and inquiry historic trends to assist Executive Director and SSA Management in the development of the community operating budget. In coordination with the Executive Director, trains and develops staff to be supportive of community marketing efforts and engage in the marketing process. Prioritizes vacant apartment renovation with the community maintenance supervisor. Maintains and updates a Community Tour Book identifying available apartments and rental information. In coordination with the Executive Director, ensures resident handbook is updated and distributed to all new residents.

Other duties as assigned to meet business needs. Supervisory Responsibilities: This position does not have supervisory responsibilities. Must meet all state health requirements including T.B. and must be able to pass states perspective background clearance Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Education/Experience: Must have a Bachelor's Degree (B.A.) from four year college or university. Experience working with the elderly or in a healthcare or housing related field is preferred. Credits in business or marketing related subjects are also preferred. Certificates and Licenses: Any state required training/certification for this position. Language Skills: Read and interpret documents such as safety rules, SOP's and instructions; write routine reports and correspondence; speak effectively before groups of customers. Math Skills: Calculate figures and amounts such as discounts, interest, commissions, proportions, percentages; apply concepts of basic algebra and geometry. Reasoning Ability: Apply common sense understanding to carry out instructions furnished in written, oral or diagram form; to deal with problems involving a several concrete variables in standardized situations. Identifies problems, gathers information, and offers solutions. Computer Skills: To perform this job successfully, an individual should have knowledge of Microsoft Office software.
