Summary: Responsible for assisting the Heart of Ohio Family Health Compliance Department manage compliance and risk management initiatives.

Work Schedule: Monday through Friday during HOFHC’s standard business hours. Times are subject to change due to business necessity

Job Duties, these are considered essential to the successful performance of this position:

  • Provides ongoing assistance to employees with incident reporting, using the Incident Reporting Dashboard (IRD). Walks employees through logging on and completing incident reports from units. Helps to maintain the IRD at different directors’ requests by adding and deleting users, changing employee information when they move to different clinics and units, adding new clinics as needed, and fulfilling any other requests to maintain an updated system.
  • Upload all incident reports into the IRD and escalate them to the appropriate staff for investigation
  • Monitor the Patient Experience Line for patient complaints and make outreach attempts to patients when appropriate to get additional information before assigning to staff for investigation.
  • Send and manage patient experience surveys. Monitors surveys for data trends.
  • Maintains the integrity and confidentiality of risk management records and investigation findings.
  • Composes and distributes educational materials, interdepartmental correspondence, etc., as needed for compliance and risk management initiatives. Heart of Ohio Family Health Center Compliance and Risk Management Administrative Specialist
  • Tracks organizational policies and procedures and initiates the update process when policies and procedures reach their review period. Keeps intranet policy and procedure dashboard updated.
  • Other duties as assigned by the Risk/Compliance Manager.

Job Qualifications (Experience, Knowledge, Skills and Abilities:

  • Strong understanding of office procedures and protocol with an emphasis on good organizational skills and attention to detail.
  • Experience in conflict management and de-escalation techniques or prior training in such techniques.
  • Able to work in a high-volume, complex environment
  • Ability to foster a positive, problem-solving approach to the work
  • Ability to work independently, as well as to be part of a collaborative team
  • Strong communication skills
  • Good customer service skills.

Education:

  • High School Diploma or G.E.D.
  • Associates Degree preferred
  • Prior related office experience preferred.


Facility Environment:
Heart of Ohio Family Health operates in multiple locations, in Columbus, OH. All facilities have a medical office environment with front-desk reception area, separate patient examination rooms, nursing stations, pharmacy stock room, business offices, hallways and private toilet facilities. All facilities are on the main ground floor and ADA compliant.

This position’s primary work area is

  • kept at a normal working temperature
  • sanitized daily
  • maintains standard office environment furniture with adjustable chairs
  • maintains standard office equipment; ie, computer, copier, fax machine, etc. at a normal working height
