Overview:

This position supports Room Sales and Catering Department, and is responsible for planning, organizing, and coordinating function and guest rooms for assigned group accounts, to ensure customer satisfaction, maximize profitability and generate return business.

Responsibilities:

  • Understand and respond to all guest needs and requests in a timely and professional manner.
  • Coordinate group onsite meeting arrangements including meeting room, AV setup, and menus for group catering.
  • Create and execute accurate banquet event orders that include detailed information on the agenda, menu items, room set up, and billing arrangements.
  • Enter all group rooming lists, and manage changes.
  • Handle processing of all group room assignments and billing with accuracy and timeliness.
  • Run daily pick up reports and follow up with unconfirmed group blocks.
  • Ensure all group room assignments are accurate prior to each group arrival.
  • Ensure all group billing is accurate prior to arrival.
  • Provide client pre- and post-sales support when requested.
  • Inform clients of changes and updates.
  • Communicate last minute changes in group functions to hotel staff; ensure accurate and satisfactory follow up.
  • Receive signed contracts, and verify block and event space information reflected in the contract is accurate.
  • Enter emails into data base.
  • Set up client profiles in Opera.
  • Enter revenue statistics into STR report.
  • Highlight group VIPs and notify the front desk.
  • Conduct site tours up request.
  • Send proposals upon request.
  • Coordinate group arrival information and hot button items with hotel operations.
  • Liaise with the reservations team on group call in blocks.
  • Assist the Director of Sales and Catering Sales Team with all facets of the onsite events, pre- and post- group events.
  • Attend weekly and monthly meetings as directed.
  • Respond to routine questions about catering events and services.
  • Be responsible for knowledge of all types of services offered, all event venues, capacities, set up options, and hours of operation.

Basic Requirements:

  • Hotel Sales or Operation experience. Non-hotel administrative experience will be considered.
  • Be a team player with high level of dedication, and ability to work collaboratively within a team environment including cross-departments.
  • Ability to professionally represent the property and interact with clients in a polished, responsible and timely manner.
  • Maintain a professional, neat and organized appearance according to Piazza Hospitality standards.
  • Possess clear, concise written and verbal communication skills and be able to communicate professionally and effectively with all hotel and restaurant guests, management and fellow associates.
  • Ability to multitask and coordinate multiple projects at once.
  • Possess attention to detail; be well organized and responsible with an aptitude in problem solving.

Ability to work independently, make good decisions, prioritize work, handle multiple tasks at the same time; act effectively under pressure.

Compensation

$23 per hour starting compensation. Monthly Bonus plan. Commission on group catering. Medical plan. 401K. Paid Vacation
