We are looking for an organized and detail-oriented conference professional to coordinate and manage logistics, complex deliverables and timelines of numerous conferences for a particular sub-set of brands. This position requires a creative mind, extreme attention to detail and the desire to grow within the marketing department. You will hit the ground running and be an integral part of a small, yet mighty conference team. The successful candidate has a track record of delivering a comprehensive trade show exhibition experience - from research and planning to on-site execution and post-event ROI measurement.
Travel to conferences will be required (approximately 30%).

Responsibilities:
- Manage conference logistics for regional shows for a sub-set of brands (TBD):
- Fill out registration forms and understand deliverables
- Secure expo services, material handling, drayage and shipping needs
- Work with internal stakeholders to determine the proper marketing pieces to ship
- Organize and process travel and lodging
- Calendar for internal staff attending and keep them updated on any changes to the conference schedule
- Stay up to date on each individual conferences’ Vaccination Requirements
- Own in-person, onsite conference execution and operations including trade show presence, sponsorship execution and booth builds; as well as customer and prospect events tied to conferences
- Identify and vet third-party conferences that match target accounts, verticals and Ideal Customer Profiles for your brands
- Elevate conference brand experiences to leave a lasting impression on customers, target accounts and stakeholders
- Research and vet speaking opportunities for your brands’ key executives for strategic thought leadership benefits
- Assist with general conference support as needed:
- Liaise with vendors and printers
- Occasionally package and prepare conference shipments (for your brands, as well as national shows), ensure timely delivery following the conference shipment regulations, track shipments to ensure arrival and return to office
- Manage and monitor conference marketing materials and swag quantities to alert marketing team of low quantities and reorder needs
- Assist in tracking conference expenses, credits and refunds
- Provide conference leads to our data team to upload and tag appropriately in CRM
- Coordinate and work with internal graphics and video production teams to resize logos and videos, create conference program ads and produce various graphics/videos as needed per conference/sponsorship for both in-person and virtual conferences
- Assist is setting up virtual booths in a number of virtual platforms; learn and understand each platform to inform and train our internal sales/biz dev team that will be participating
Required Qualifications:
- BA degree in marketing, communications or related
- At least 3+ years of conferences/tradeshow experience
- Great attention to detail
- Strong verbal and written communication skills
- Excellent organizational, multitasking and interpersonal skills
- Ability to work under pressure and prioritize a variety of projects simultaneously in a dynamic environment, without getting overwhelmed
- Ability to work well in a team with minimal supervision
- Strong computer skills: Microsoft Office (Word, Excel, Outlook, PowerPoint); knowledge and experience with Exhibit Day, Click Up, Cvent, Hubspot, Socio and/or many of the various virtual conference platforms is a plus

Compensation: Aya reasonably anticipates the pay scale for this position to be $31.25 to $38.46 hourly, which equates to $65,000 to $80,000 annually.
The pay scale for this position may vary if applicant possesses experience outside of what Aya reasonably anticipates for this position. Bonuses are subject to the role and your manager’s discretion.
