SERVPRO® of Pembroke Pines / West Miramar Construction Administrative Assistant!!

Seeking individuals with experience in the following industries: Restoration, Water Mitigation, Mold Remediation, Construction or similar industries!!

Primary Responsibilities

· Assist the Construction Manager in the coordinating of Reconstruction jobs including scheduling jobs and taking calls from our customers

· Help Construction Manager keep organized with jobs in progress by updating our WIP Board (Work In Progress Notes)

· Take customer calls and communicate job status and provide customer service

· Follow up with customers on payments due for jobs in progress and complete

· Assist in putting together the Xactimate Estimate for the construction jobs

· Assist in gathering ALL customer paperwork and signed forms

· Manage the Billing Packages we send to the customer and insurance companies

· Schedule Technicians and maintain daily communication on jobs

· Assist with scoping each job to determine the amount of labor, materials, supplies and time required for each construction project

· Track All expenses associated with each Reconstruction job, including all labor, materials and supplies in an organized way and be able to communicate to upper management on a weekly basis

· Assist with Estimating including gathering the appropriate documentation, photos, sketches, and entering Estimates in Xactimate

· Assist with putting together the complete billing package that it is sent out to our customers and insurance companies

· Manage and maintain our company WIP (RECONSTRUCTION Jobs Work in Progress), including staying on top of job status and updating the WIP on a daily basis

· The WIP contains important information regarding each customer and job and this role is responsible in entering ALL information into WIP and ensuring all information is kept up to date with Daily entries to reflect the daily completion of existing jobs while adding new jobs that come in

· Communicate with our customers (home owners and Insurance companies) to ensure we have submitted all required paperwork and follow up with them to ensure they are moving forward with the jobs and payments.

· Speak to Insurance Adjusters and answer questions they may have regarding our restoration jobs and to ensure they have all required documentation from us

Position Requirements

· Bilingual Preferred

· Construction background Required

· Restoration background a huge PLUS

· Prior Servpro Experience a PLUS

· Construction estimating experience a PLUS

· Knowledge of Xactimate a Huge PLUS

· Administrative Assistant experience a plus

· High organization of ALL jobs, Estimates, Costs, Cu

· Proactive and fully engaged with our daily activities

· Bilingual preferred (be able to speak English and Spanish)

Pay Rate

Competitive pay based on experience level
