Summary

This position has primary responsibility for assisting the Director, Communications Operations & Reporting with the coordination and organization of operational activities related to Spire’s Communications & Marketing department.

Duties and Responsibilities

  • Support the Chief Communications Officer through calendar management, travel, scheduling, meeting prep, expense reporting and other administrative duties
  • Assist the Director, Communications Operations & Reporting in providing operational support to the Communications and Marketing department, examples of which include:
    • Manage existing and establish new communication and reporting systems to keep department members connected and functioning efficiently
    • Maintain and update calendars with deadlines and priorities, working closely with department members on strategy, planning and details
    • Planning and coordination of team events, including birthday and anniversary celebrations
    • Managing the department’s storage inventory
    • Assist in administering Spire’s record retention strategy
    • Open purchase orders (PO), track invoicing and payments associated with the department budget
    • Assist with budget tracking and reporting
    • Track and archive signed legal agreements as reference for department members
    • Assist in planning and implementation of corporate events and meetings managed or initiated by the Communications & Marketing department, working closely with Supply Chain, Facilities, Hospitality and others in regard to managing outside vendors
  • Assist the Employee Communications team by:
    • Managing the inventory and distribution of Spire Serves t-shirts
    • Identifying and scheduling volunteer opportunities
    • Logging volunteer hours post event
    • Managing elements of the annual United Way Campaign, including material distribution, acting as a liaison for local campaign leads and sourcing participation prizes
  • Assist the overall department through the following:
    • Scheduling meetings
    • Meeting prep
    • Expense reports
    • Time keeping
    • Shipping materials
    • Booking travel and lodging
    • Requesting POs, account code and invoice tracking on behalf of Creative Services for jobs and materials charged to business partners outside of the department
    • Assist department supervisors with new hire set up and equipment requests
    • Assist existing department employees with equipment requests and network support
  • Foster working relationships with key personnel for coordination of high priority meetings
  • Establish and actively maintain positive relationships on behalf of the department with Spire employees and vendors
  • All other duties as assigned

Essential Characteristics and Competencies

  • Minimum of 5 years of experience in a business environment
  • Ability to demonstrate the core and job category competencies and expectations
  • Demonstrated experience in building and nurturing positive, collaborative relationships
  • Strong communication skills with prompt response, status updates and follow through
  • Exceptional attention to detail, providing accurate result consistently
  • Self-motivated; ability to work independently
  • Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint)
  • Familiarity with Microsoft Teams and/or other video conferencing platforms

  • Ability to adapt easily with changing schedules, tight deadlines and last-minute requests
  • Ability to grasp new concepts, strategies and initiatives
  • Ability to meet deadlines and to manage several projects at once

  • None

Required Education (certifications, licenses)

  • Bachelor’s degree or relevant experience in communications, business, project management or a related field preferred

Required knowledge, skill and abilities

  • Experience as an executive administrative assistant is a plus
  • Experience with Oracle Business Suite, Concur and ADP a plus

Physical demands, environment and schedule

  • Hybrid in office and remote work schedule
  • Onsite work is performed in a shared, open-office environment
  • Workday is typically Monday-Friday from 8 a.m.-5 p.m., the occasional evening or weekend may be required – based on workload
