JOB SUMMARY: The Coordinator is primarily responsible for coordinating the daily operation of the IT, Facilities and Administration departments. This includes generating and monitoring trouble tickets (via the incident management system), maintaining department documentation, deployment of mobile phones, coordination of travel plans and serves as the single point of contact for all department related issues. The coordinator will work with internal teams and external vendors to maintain and improve the overall efficiency of the department, including assisting with identifying and implementing new technologies and tools that improve productivity and operational effectiveness.

MAJOR RESPONSIBILITIES:

  • Serve as a central point of contact and liaison between Information Technology, Facilities, and Administration teams as well as various departments within Creative. Facilitate communication and collaboration among the team to ensure services are delivered in an integrated and cohesive manner. Creates, assigns, prioritizes, and follows up on trouble tickets and requests using the incident management software. Communicates and coordinates ticket escalations. Responsible for coordinating the End of Life and Team Member Event process which includes interfacing with departments and projects to gain accurate information for the team to act on.
  • Assist with all TM Events (new hires, transfers, separations, etc.) and onboarding to ensure a smooth process. Act as the backup onboarding facilitator. Responsible for sending out the new hire departmental communication email and maintaining the SharePoint site dedicated to new team members.
  • Work with internal teams and external vendors to maintain and improve the efficiency of departmental operations.
  • Responsible for managing the administrative functions of the department and ensuring it is in accordance with established policies and procedures.
  • Maintain and assist in the creation of departmental policies and procedures. This includes maintaining and organizing the department SharePoint site and shared drives.
  • Work closely with the Creative Administration department to setup and deploy cell phones in accordance with company policy.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.

ADDITIONAL INFORMATION: Works with 3rd party vendors, remote users and communicates with customers including, at times, top level executives. Solid written and verbal skills are a must.

EDUCATION: Bachelor’s degree in a related field preferred.

EXPERIENCE: 2+ years previous Coordinator experience preferably within an Administration, Facilities, or Information Technology team. Proficient in use of Microsoft Office software required.
