We are looking for a skilled and adaptable Data and Documentation Specialist to support our $4.3 billion DOD Healthcare Management System Modernization (DHMSM) program in Vienna, VA, providing the modernization of Electronic Health Record (EHR) capabilities for the Department of Defense. Leidos, along with core partners Cerner, Accenture, and Henry Schein, will support the DHMSM Program Executive Office (PEO) and the Defense Health Agency in the global deployment of our proposed EHR system that will deliver improved system capability to the DoD whenever and wherever healthcare is required. WHAT YOU WILL BE DOING

  • Complete all required and annual DHMSM and Leidos training in a timely manner.

  • There will be significant interaction with members of the program team to include the Program Manager and various other functional or support organizations.

  • Schedule, track, and process contractor and subcontractor data deliverable requirements and submit contractual deliverables to customers electronically or via physical media as required by contract.

  • Support Project Managers with creating and finalizing project document deliverables in order to meet deadlines.

  • Ensure program CDRLs meet preparation and marking requirements. Elevate data to a released state for placement in controlled digital repository(s) for access to include Vector SharePoint and all LMT/JAZZ Tools and related services including Rational Team Concert (RTC/CCM), DOORS Next Generation (DNG/RM), Rational Quality Manager (RQM/QM), Jazz Reporting Services (JRS) and System Architect) and associated services.

  • Coordinate DM activities with other functions, including but not limited to contracts, legal, engineering, training, testing, quality assurance, tech edit, finance, and program management to ensure a proactive data management presence. Prepare data management-generated documents as needed.

  • Support company requirements for document and data control and control of quality records. May assist in maintaining a controlled documentation system, including records retention, data delivery, data assurance and administration of system access control.

  • Back up other data and change/configuration management personnel as needed.

  • Train a data and documentation management backup to fully function with limited to no supervision.

  • Establish, create and maintain an updated standard operating procedures manual.

  • Design and develop new/improved document management processes. Ensures proper documented information metadata management (classification, sorting, filing and proper archiving).

  • Process official acceptance/rejection notices from PMO to include uploading CRM and official COR letter in SharePoint. Notifying management and supporting personnel of the CDRL delivery outcome.

  • Coordinate with PMO (Govt) point of contact for any questions or concerns regarding officially delivered CDRLs and status updates.

  • Create, update and maintain a Vector Workflow library that will house all current workflows to be accessed by multiple individuals throughout the DHMSM contract.

  • Provide new hires with the CDRL process documentation and assist with the initial process to include updating the metadata properties and starting the CDRL workflow. Assists Manager in the training and coaching of new and existing team members to maximize performance.

  • Work with variety of file types: MS Office (Word, Excel, PowerPoint, etc.), Visio, and PDF.

  • Maintain the SharePoint or other document repository and ensure appropriate team members use of features such as Check In/Out, associating meta-data, establishing folder structure, standardized document naming conventions, version management.

  • Responsible for full life cycle data and documentation management.

  • Respond to requests to locate, retrieve, return, or update items.

  • Identify, organize, and catalog large quantities of different data types, according to our defined taxonomy, simplifying the ability to quickly recall data when requested.

  • Evaluate existing document management systems and procedures to determine current effectiveness and efficiency; identifies and recommends improvements.

  • Consult with end users to identify problems in accessing electronic content.

  • Assist engineering team with design note number issuances and maintaining the VECTOR delivery note library.

  • Establish, coordinate, and execute a process for collecting, analyzing, integrating, reviewing, and endorsing data, and reporting/disseminating data from across the DHMSM contract.

  • Update and maintain the LPDH document tracker to include contractual due/delivery dates for all CDRLs. Track the status of the delivery and provide comments or notes for historical purposes. Generate reports from this tracker for multiple users across the DHMSM contract.

  • Assist new/current employees with gaining access to the TI Domain system to include providing the required form, coordinating the required signatures and submitting the documentation for processing to the help desk for a request ticket.

  • Perform other duties as assigned by management.

FACTORS FOR SUCCESS

  • BA degree and 4-8 years of prior relevant experience or Masters with 2-6 years of prior relevant experience

  • US Citizen with the ability to obtain and maintain a Public Trust Clearance. Contract requirement.

  • Familiarity or experience with scheduling, tracking, and processing contractor and subcontractor data deliverable requirements and submitting contractual deliverables to customers

  • Experience working with variety of file types: MS Office (Word, Excel, PowerPoint, etc.), Visio, and PDF.

  • Prior experience maintaining a SharePoint or other document repository.

Pay Range:

Pay Range $59,150.00 - $91,000.00 - $122,850.00

The Leidos pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data, applicable bargaining agreement (if any), or other law.
