Data Entry/ Admin Assistant - Accounting

Commercial HVAC material supplier in Atlanta, GA has an immediate opening for an estimator for a Data Entry/Admin Assistant for our Accounting Group. Our goal is to effectively promote sales of HVAC equipment in the commercial construction market and to deliver unparalleled service to our customers.

ESSENTIAL FUNCTIONS

  • Reviews invoices daily from multiple company branch locations for approval by supervisor and enter into the Syspro accounting software system.
  • Performs data entry of invoices submitted by billing department, stamps invoices as entered and files in proper invoices file.
  • Prepares and organizes the weekly check run for the Company. Preparation involves running the Payment Release schedule properly printing the checks and ensuring checks are matched to the invoices prior to review and signature.
  • Filing of paid invoices in the proper vendor files.
  • Receives and organizes statements from vendors; reviews vendor files for payment status of invoices listed as outstanding and follows up with vendors to request support or discuss any discrepancies.
  • Takes phone calls from vendors in regard to invoice payment status and general A/P inquiries.
  • Makes calls to vendors to clarify any questionable invoice items, calls department for proper information and/or data regarding invoice payments.
  • Works closely with CFO, accounting manager, and accounting staff in the monthly review process to ensure accuracy in financial reporting.
  • Performs other related tasks as may be assigned by the Supervisor.
  • Data Entry:
    • Enter billing data located on vendor factory invoices per instructions from sales teams across multiple company branches
    • Process credit memos and adjustments per instructions from sales teams
  • Review stock ticket report for errors prior to processing their billing
  • Maintain log of invoice registers and distribution reports
  • Answer questions from sales teams regarding billing
  • Review paperwork as entered and check with sales teams for missing or incomplete information

QUALIFICATIONS

  • Preferred experience with a commercially known ERP system preferred. Company currently use Syspro
  • Ability to perform tasks with reasonable speed and accuracy.
  • Time management skills and ability to prioritize between multiple tasks based on importance.
  • High school graduate or equivalent; accounting training/experience desirable.
  • Pleasant telephone manner.
  • Ability to show initiative and to follow through on unresolved issues.
  • Self-motivated, team player with ability and the flexibility to perform a variety of tasks to support other areas of the Accounting Department as needed, especially at month-end.

Knowledge of:

  • Principles and processes for providing customer and personal services.
  • Administrative and clerical procedures and systems such as word processing, managing files and records.
  • Structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
