The Director of College Events is a member of the President's Office team with specific responsibility for the creation, implementation, design, and oversight of activities and events which enhance the "Beloit Experience" for trustees, faculty, staff, students, alumni and friends, and which further the goals and objectives of the College.

Characteristic Duties and Responsibilities:

  • Creatively manages and designs all elements of college-funded events, especially those linked to trustees, the President's Office/house, and the Office of Advancement, from conception to execution to post-event wrap-up. Specific duties include event and run-of-program design; setting and adhering to event budgets; arranging services including catering/menus, lighting, seating, set-up/tear-down, décor, audio-visuals, security, etc. Events include but are not limited to:
  • Commencement and commencement-related events
  • Office of Advancement events including Showcase, Reunion, and Homecoming
  • Beloit College Trustee events
  • President's House events
  • President's Office events
  • Provost's Office events
  • Major public events/lectures including Residencies (lectures, panels, and related guest events)
  • Weddings/summer events on campus
  • Community events on campus
  • Convocations, performances, and major academic events including Honors Day, Symposia, and more
  • As many as 5-10 Beloit College off-campus events per year such as campaign dinners, trustee-hosted gatherings
  • Calls and chairs special event planning teams and works with staff and faculty clients in planning, programming, and coordinating special events.
  • Supports the college's public events through duties including budget management; talent selection; contract negotiation; oversight of security; technical assistance; volunteers and other aspects of events.
  • Initiates all support activities with colleagues in various departments such as Communications and Marketing, Library & Information Technology Services, Facilities, and Security.
  • Oversees Special Events Budget for external event revenue.
  • Serves as the initial point of contact and coordinator for all external events including meetings, special events, and weddings:
  • Provides communication for initial event requests and throughout the planning process
  • Scheduling and executing venue tours
  • Drafting and receiving contracts, retainers, and liability insurance
  • Coordinating catering contacts, venue scheduling, technical and set-up services
  • Client planning support
  • Works with campus stakeholders to improve technical and logistical elements in spaces on campus such as Eaton Chapel, Wilson Theater, Powerhouse, etc.
  • Writes and maintains contracts with external groups making use of campus facilities while securing the approval of the Vice President for Finance and Planning.
  • Exercises community-building skills to facilitate relationships with individuals and groups outside the campus community. When directed, serve as a college representative with the Downtown Business Association or similar organization.
  • Coordinates with the President's House Manager to prepare for social events that take place in the President's house and for events hosted by the President's Office.
  • Schedules and supervises President's house staff and/or event staff volunteers when required.
  • Advises Senior Class Officers regarding all Senior Week events.
  • Creation and upkeep of all event content on the Beloit College website.
  • Performs other similarly-related duties as assigned.

Credentials and Experience:

  • High school diploma or equivalent required.
  • Bachelor's degree desirable.
  • Four or more years of experience with and an understanding of and commitment to donor relations and public relations as part of special event management is required.
