We currently seek a responsible, personable, detail-oriented individual to perform general and specific administrative support functions within the Village Manager's Office as a Part-time Division Secretary.
Key Responsibilities:
The Division Secretary is a front facing, customer service position, who screens and directs visitors; answers and routes routine verbal and written inquiries; relays telephone messages, complaints and requests for service; schedules and revises appointments; provides administrative support to the Assistant to the Village Manager/Risk Manager, as well as the Department, and assists in support functions of Risk Management.

Additionally, this role will compose and type correspondence; proofread, edit and/or correct document errors; use photocopier and other office tools to copy, fax, and print; read to understand and interpret information; prepare or assist in the insurance claims process; prepare monthly reports; schedule appointments and reserve meeting room assignments; process Freedom of Information Act (FOIA) requests; research, retrieve, post, identify agenda items and bid files; process/dispose of files pursuant to the Records Retention Act, as directed; and perform other related duties as assigned.
Qualifications, Knowledge, Skills:
A minimum of an Associate's degree, OR any combination of education, experience, and training that provides the requisite knowledge, skills, and abilities to perform the duties required for this role.
Additionally, the Division Secretary must possess proficiency level experience in Microsoft Office applications including Word, Excel and Outlook. The ability to learn various computer software/applications is a must.

The ideal candidate is cordial, professional, and organized; performs well under pressure, and routinely meets deadlines. Must have the ability to follow complex verbal and written directions; communicate effectively both verbally and in written form; maintain complex clerical records and prepare reports from such records.

Working knowledge and the ability to use spreadsheet, database, and word processing software is required. As well as the ability to use a variety of office equipment such as computers, fax machines, photocopiers, scanners, and telephones.

Must possess excellent customer services skills, interpersonal, communication, and organizational skills. Must be able to work in a fast paced environment and meet deadlines; read and interpret documents such as procedure manuals; write routine reports and correspondence; and speak effectively before residents and staff.

Availability between 20 -29 hours per week is required.
Compensation & Benefits:
Pay rate is $16.02 - $18.50 per hour, depending on qualifications/experience. This is an Illinois Municipal Retirement Fund (IMRF) eligible position.
