Air Products and Chemicals, Inc., a Fortune 500 manufacturer of industrial gases and chemicals, has an immediate opening for a Document Control Senior Lead at our Corporate Headquarters in Allentown, PA or our Houston, TX office.

The Document Control Senior Lead position is part of the Americas Project Execution team within the Global Engineering, Manufacturing, Technology, and Equipment (GEMTE) organization. This role supports Proposals, Project Management, Engineering, Procurement, and Construction Teams to ensure successful execution of capital projects.

One of the key enablers to our business growth is data-centric and data management that focuses on lifecycle data integrity and digitization to improve the execution capabilities of Air Products' mega projects. A critical goal is to increase our internal EPC execution efficiency by growing the organization's document controller capabilities and driving the full integration of document flow across functional organization. We have a Build, Own, and Operate business model, from developing product lines, through EPC and Operations. The incumbent is charged with improving the efficiency and implementing the best application of work processes, system tools and document flow.

The role's objective is to lead all document control resources on a project as per the work processes established by the global electronic document management system and regional requirements.

This role will report administratively to the Regional Document Control Manager for the America’s and work closely to identify gaps in process and systems to drive continuous improvement efforts as well as efficiency, standardization, and streamlined processes being implemented on Projects. On the Project, this position reports to the Project Engineering Manager.

Principal Accountabilities:
This position is accountable for the following:

  • Implementing the document management requirements for the Project.
  • Supervising and leading the project document control resources assigned to the Project.
  • Setting up the project in a consistent manner in accordance with the approved work processes and systems.
  • Define and communicate the project document controller scope split ensuring there is a clear alignment on the distribution of work for the multi-office execution model.
  • Collaborate with the other AP Regional Document Control Teams to ensure cohesiveness in implementing scope split on projects.
  • Maintain staffing plan, budget, and schedule for the project scope.
  • Develop a project specific data and document execution plan using the standard global template to deliver the project requirements including working with Joint Ventures, Partners, Customers, and 3rd Party Service Providers and Suppliers.
  • Establish the project document management file structure, review and approval matrix, access control, submittal review, reporting requirements, close out, record retention, and final archiving activities, including Handover to Operations for the region.
  • Ensure detailed exchange of documentation is identified, communicated, and implemented to facilitate the contractual needs of the project with the capabilities of the contractors, vendors, and client and in a timely manner.
  • Perform complex document control duties and analytic tasks.
  • Will be the Super User of EDMS on the Project.
  • Will be responsible to train document control staff, other Disciplines and Departments as needed on the Project.
  • Will facilitate Project Level Training on Project by Phase: Engineering, Detail Design and Construction.
  • Establish the appropriate reporting structure to keep the project leadership advised of the document status, exceptions, and expediting requirements.
  • Set up and maintain the Document Management System (In House EDMS Software.)
  • Ensure the established processes and procedures are trained on, implemented, and followed through to completion.
  • Maintain and lead electronic and hard copy documents as required.
  • Process incoming documentation (registration in the EDMS i.e. In House Tools, internal distribution, archiving).
  • Process outgoing documentation (transmit to Client and Suppliers/3rd parties).
  • Makes sure that controlled copies of the latest approved documents and drawings are run in accordance with the established procedure and distributed internally and externally (Clients and Suppliers).
  • Ensure that Field Document Control is set up accurately, scope of work identified, and execution plan written.
  • Support the Field Document Control activities as needed, they report back to this role on Projects.
  • Ensure general document control activities such as photocopying, scanning, analysis of supplier’s documents is being performed in compliance with Project standards regarding numbering and all other aspects related to document quality.
  • Assistance in the preparation, collation and issue of reports and registers on the Project.
  • Produce internal and external (Clients and Suppliers) over-due reports.
  • Ensuring the use of standardized forms and templates.
  • Establish and maintain the Master Document Register in agreement with the Project team.
  • Frequently check that all record files required by the Project are being maintained in good order to stay in sync with QA requirements.
  • Ensure handover to Operations is conducted in a seamless and timely manner based on Operations requirements.
Critical Competencies:
  • Knowledge of document control work processes in the project execution and operations handover
  • Strong working knowledge of EMDS’ used on large projects, e.g., Documentum, Coreworx, OpenText, Aconex, etc.
  • Strong working knowledge of applications such as: Microsoft suite, Bluebeam, Adobe Acrobat, CAD Viewer, Visio, etc.
  • Strong communication skills (written and verbal)
  • Strong facilitative skills, including presenting to cross cultures and geographies
  • Thrives in a fast-paced environment
  • Detailed understanding of technical and commercial document control management process
  • Critically evaluate information gathered from multiple sources and reconcile conflicts
  • Ability to analysis priorities and delegate tasks to meet critical deadlines
Preferred Qualifications:
  • Associate Degree or High School Diploma
  • A minimum of 10 years of relevant professional experience
  • Experience in leading the document control effort
  • Experience in executing projects using electronic document management processes
  • Experience in supervising and leading others
