Responsible for performing daily office tasks, prepare claims batches for scanning/filing. Maintain log of misdirected claims; other responsibilities include daily mail pickup and delivery to our Corporate office. Must be able to complete all tasks in a timely manner.

Functions & Job Responsibilities

  • Collect, sort, collate, date stamp, batch, scan and distribute incoming mails to correct departments.
  • Track and count daily claim receipts by updating and maintaining the claims log.
  • Sort mail such as returned letters, adjustments, bills, orders, and payments.
  • Prepare outgoing mail for Claims, Enrollment and Member Service teams.
  • Weigh mail to determine correct postage.
  • Fold letters or other documents and insert them into envelopes for distribution.
  • Prepare Claim Batches
  • Maintaining Misdirected Document Log
  • Assist in end-to-end claims reconciliation from mailroom to EZCAP in-load.
  • Assist in manual entry of claims in EZCAP when needed.
  • Work with offshore scanning vendor
  • Organize, maintain, and scan documents.
  • Stock copy rooms and printing devices.
  • Ensure office is adequately stocked with mail supplies.
  • Fax documents to clients, members, and vendors.

Qualifications:

  • Knowledge of relevant software applications including MS Office
  • Proficient in use of email and internet
  • Good numeracy skills
  • Accurate keyboard skills
  • Knowledge of office management systems and procedures
  • Knowledge of administrative procedures
  • Knowledge of basic accounting procedures
  • Must have a driver’s license and proof of Insurance.
  • High School diploma or equivalent GED
  • Must be able to lift 40 pounds.

Physical requirements needed to perform the essential functions of the job, with or without reasonable accommodation:

  • Must be able to travel when needed or required
  • Ability to operate a keyboard, mouse, phone and perform repetitive motion (keyboard); writing (note-taking)
  • Ability to sit for long periods; stand, sit, reach, bend, lift up to fifteen (15) lbs.

Ability to express or exchange ideas to impart information to the public and to convey detailed instructions to staff accurately and quickly.

Work is performed in an office environment and/or remotely. The job involves frequent contact with staff and public. May occasionally be required to work irregular hours based on the needs of the business.
