TITLE: 21st Century Community Learning Center (CCLC) Site Coordinator
DEPARTMENT: Programming
REPORTS TO: 21st (CCLC) Assistant Director
Status: Non-Exempt
PRIMARY FUNCTION:
Responsible for the daily operation, coordination, delivery, and data entry services for the 21st Century Community Learning Center (21st CCLC) program at given site. Plan, develop and oversee implementation of academic program components in conjunction with school principal and teachers. Plan, develop and oversee a variety of Club-based enrichment activities in areas that include civic engagement, STEM, drug/alcohol prevention activities, physical fitness, social emotional learning and parent engagement.
SKILLS/ESSENTIAL FUNCTIONS:
- Oversee all aspects of 21st CCLC program planning at designated school.
- Develop program schedule reflecting academic and enrichment times, spacing, and staffing.
- Develop daily breakdown of staff expectations in alignment with program schedule.
- Update and distribute 21st CCLC application to designated school, students, and parents.
- Collect student attendance daily for academic and enrichment program components.
- Ensure staff and students are assigned to classrooms or other acceptable space for academic and enrichment program components.
- Hire independent contractors, teachers, and paraprofessionals.
- Allocate, monitor and provide ongoing feedback of work assigned to program volunteers and staff.
- Oversee all aspects of 21st CCLC data collection and Cayen input requirements.
- Records of 21st CCLC activities, staffing and APR information, professional development, staff trainings, parent and member attendance, member registrations, parent registrations, documents, advisory meetings, student grades, student test scores, academic and enrichment lesson plans, meeting minutes (general and advisory), newsletters, family night related documents etc. on Cayen platform.
- Complete monthly Cayen data site checks and make necessary corrections identified by 21st CCLC Director.
- Have Cayen data correct and ready to Certify by NDE approved deadline.
- Ensure that all 21st CCLC related documents are kept in a locked area (only to be accessed upon approval).
- Recruit members, through designated school and Boys & Girls Club, who might benefit from 21st CCLC, in order to achieve grant required number of students served.
- Responsible for interfacing with members and parents to communicate program benefits, programs, policies and practices.
- Increase visibility of Club programs via posting of daily schedule, announcements of
upcoming events and the dissemination of timely information to school representatives, members, parents, other program stakeholders and the community at-large.
- Communicate daily with key 21st CCLC involved professionals (BGCTM site directors, 21st CCLC Director, 21st CCLC Assistant Director, partners, parents, staff, students, and designated school staff).
- Plan and attend weekly meetings with designated school principals.
- Participate in regular meetings with 21st CCLC Assistant Director.
- Maintain direct connection with regular school day professionals and address specific needs of students within the program activities.
- Plan, organize and lead at least four Advisory Meetings per academic year
- Oversee all aspects of 21st CCLC deliverables
- Ensure activities are delivered as intended under the approved 21st CCLC grant application.
- Provide a safe and secure environment for all Club members.
- Have familiarity with emergency procedures and protocol.
- Develop, implement, and administer comprehensive enrichment programs within the five core areas with an emphasis and support of Youth Development Outcomes, services and activities for members and visitors.
- Plan and oversee the administration of designated programs and activities that support Youth Development Outcomes which are consistent with organizational and 21st CCLC goals and mission.
- Oversee the provision of day-to-day program activities in accordance with established standards and goals.
- Ensure that members are encouraged to participate in a variety of program areas/activities and receive instruction and constructive feedback to develop skills in program area(s).
- Oversee all aspects of 21st CCLC materials (EREQs).
- Implement proper checkout system for 21st CCLC technology.
- Ensure proper labeling and storage of 21st CCLC supplies.
- Plan, coordinate, and record attendance of 21st CCLC family nights in partnership with BGC/designated school.
- Ensure the evaluation of Club programs on a continual basis and ensure programs/activities respond to member needs.
- Effectively manage staff to ensure that all members are actively engaged and participating in activities, which support all core areas.
- Manage program and activity reports and expenditures within approved budget
- Demonstrate skills both verbal and written to communicate with a diverse population of members, as well as adults.
- Recruit, select, manage and provide career development opportunities for staff and volunteers.
- Manage all staff issues such as performance reviews, leave requests, progressive disciplinary action, staff hours and other duties as required in a supervisory capacity.
- Responsible for receiving member applications, cash/credit card payments and complying with all procedures outlined in the Club financial policies guidelines.
CERTIFICATION/ASSOCIATION
- After hire, will register with Boys & Girls Clubs of America (www.bgca.net).
- After hire, will receive mandatory paid on-line and in-person training, including Safety Skills, CPR/First Aid, etc.
- Required to obtain a Commercial Drivers License within 120 days, as relevant to the position.
EDUCATION/EXPERIENCE REQUIREMENTS:
- Must have a high school diploma AND, at a minimum, meet paraprofessional requirements:
- Completed at least two years of study at an accredited institution of higher education (minimum 48 college credits), OR
- Obtained an Associates (or higher) degree, OR
- Passed a formal state academic assessment of knowledge of and ability to assist in instructing reading, writing and math.
- Bilingual (English/Spanish) highly desired
- Minimum of 2 years of experience, including 1 year of experience at the Boys & Girls Club of Truckee Meadows, working with youth and/or teens, or a combination of education and relevant experience.
- Proficient in using various computer software programs, including but not limited to Comet, Microsoft word, excel and power point.
- Familiarity entering and processing membership applications.
- Payroll Systems Web Based time system and familiarity to the internet.
- Required to attend and participate in regular Site Coordinator meetings.
- Must possess excellent organizational skills, produce and provide data/reports in a timely manner.
- Must be reliable and punctual reporting to assigned tasks.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
Must be able to perform duties that require walking, talking, hearing, standing, sitting, bending for long periods of time. May occasionally be required to kneel, run and/or climb.- Must be able to use hands and arms to enter data into the computer, use the telephone and other office equipment
- Must be able to lift, move manipulate and or hold objects up to 45 pounds. Objects that exceed the 45-pound weight limit require additional assistance when moving, lifting or manipulating.
