EHS Program Assistant for both the center site and homebased site, will assist the management team in effectively operating a high-quality program in accordance with the Head Start Performance Standards. Assist program staff in conducting all programmatic and administrative services, such as: prepare and type a variety of non-routine/complex correspondence, forms, reports, and similar items using a personal computer and MS Word software; answer phones and greet clients; coordinate events (including venues, food, translation, and childcare, and ensures office is opened and closed in a timely routine.

ESSENTIAL DUTIES & RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Administrative support to the Center Based Manager and the rest of the Management Team.
  • Greet and welcome parents and visitors to the center site, and support parents from homebased program during social activities.
  • Provide administrative and communication support to Policy Council members.
  • Order necessary materials and maintain program inventory for CB and HB programs (both sites ING/HAW and SLA)
  • Strong ability to achieve high performance goals and meeting deadlines by implementing effective organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and ensuring confidentiality with discretion by being adaptable to various competing demands, and demonstrate the highest level of client service and response
  • Establishes and maintains center based children's files by creating effective filing systems, tracking reports, etc. and retrieves corporate documents, records, and reports.
  • Process checks requests and maintain financial records programs (both sites ING/HAW and SLA).
  • Support coordination and implementation of training, meetings, activities, and events.
  • Assist in the preparation of correspondence, documents, forms, notes, and spreadsheets.
  • General clerical duties; answering phones, filing, equipment set-up, scheduling and coordinating events, event locations and contacting attendees, etc.
  • Responsible for the systematic check out and return of toys, books, and backpacks, etc. programs (both sites ING/HAW and SLA)
  • Participate in conducting and assisting with self-assessment and community assessment.
  • Demonstrate ability to work independently and as an effective member of a multidisciplinary team.
  • Document services, time, and expenses in accordance with EHS, and LAEP policies, rules, regulations, and program procedures.
  • Maintain a professional attitude, confidentiality, and respect cultural differences.
  • Perform other duties as assigned.

SUPERVISORY RESPONSIBILITY

No supervisory responsibilities.

QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

  • High school diploma or GED, AA or certificate of completion in a secretarial field preferred.
  • 1-2 years of work experience or closely related position; working knowledge of standard office practices and equipment; office organization skills to ensure smooth running of office
  • Strong communication and organizational skills and interpersonal.
  • Good computer skills required. Proficient in Microsoft Office (Word and Excel)
  • Minimum typing skills at 45 WPM, preferred.
  • Able to take initiative and multitask
LICENSING AND CERTIFICATIONS (IF APPLICABLE)

  • Daily driving is required. Must provide own vehicle, valid Driver's License and proof of full vehicle insurance coverage
  • Negative tuberculosis screen required
  • Hepatitis B Vaccination (recommended)
  • Must pass a criminal background check.
