Our Health Center Locations: Brick, Freehold, Lakewood, Little Egg Harbor, Manahawkin, Manchester and Toms River; with our school-based Wellness Programs located within the Clifton Ave Grade School, Lakewood; and Lakewood High School.

OHI services include family and internal medicine, pediatrics, behavioral health, nutrition, OB/GYN women’s health, dental, family planning, specialty care, pharmacies, PrEP, and a STI clinic.

Hours: Full-time hours are M-F 8:00am- 4:30pm with rotating evening/Saturday shifts (subject to seasonal changes and business/site needs)

Position Summary

The EMR Specialist is responsible for all OHI staff adoption, onboarding, and management including the integrity and efficiency of the electronic medical records (EMR). They are tasked with analyzing, measuring identifying training gaps, and identifying & launching operational improvement initiatives across the organization. This person should possess an innate talent for data-driven continuous improvement and critical thinking. The EMR Specialist must have the ability to leverage practice performance data and collaborate with clinical teams to optimize operational excellence and patient care quality.

Responsibilities

  • Serve as the expert for the EMR system and develops best practices to support each EMR initiative.
  • Reviews all EMR communications and conveys system challenges and solutions in a timely manner.
  • Coordinate efforts to conduct assessments of how current use of the EMR system and identify areas for optimization.
  • Collect and analyzes process and EMR data to initiate, develop and implement business practices and procedures that focus on enhanced safety, increased productivity, and reduced cost.
  • Research best business practices within and outside the organization to establish benchmark data.
  • Manage data driven scorecard to track areas of opportunity, improvement tactics, and optimization KPIs and OKR alignment.
  • Analyze quantitative and qualitative data to derive insights and develop corresponding practice improvement plan.
  • Consult with the education department to ensure all staff members can use the EMR system to its maximum potential, supports and contributes to strategic initiatives.
  • Identify common approaches, such as templates or customized reports that OHI can use to achieve specific aims, such as UDS, MU, PCHMH, HEDIS, etc.
  • Develop or enhance educational materials that can assist practice staff in understanding how to best to utilize the EMR system.
  • Maintain ongoing communication with practice stakeholders identifying individual and practice developmental needs and collaborates with training team to remediate findings.
  • Plans and manages continuous improvement projects.
  • Reviews system updates, pointing out the advantages, consults with departmental Managers and Operational Leadership to evaluate and develop unique performance plans based on best practice measures.
  • Develops and deploys internal practice surveys and communicate results.
  • Participates in OHI committees and meetings like CQI, Quality, and EMR.
  • Maintains knowledge on the Monday.com platform documenting timely updates on project statuses while meeting assigned deadlines.
  • Assist corporate compliance with developing and maintaining thorough and consistent auditing of users and appropriate use of PHI.
  • Assures confidentiality, data privacy and user access and maintains consistency in record keeping and reporting.
  • Ensures the set up and disabling of user access working with management for maintenance of user security roles and profiles.
  • Ensure interfaces and functionality of EMR with external systems and organizations to achieve seamless integration and protection.
  • Perform all other duties and special projects as requested by the SVPRC&PM and senior management team.
  • Maintains up to date knowledge of computer systems including database management.
  • Writes and maintains standard operating procedures (SOP’s).
  • Identify, analyze, and interpret trends or patterns in complex EMR.
  • Filter, clean, validate, and review EMR data, review reports, printouts, and performance indicators to identify and correct problems.
  • Work closely with management to prioritize business and information needs.
  • Locate and define new process improvement opportunities.
  • Identifies deficiencies in end user workflows and works with the Director of Education to develop improvement training.

Education/Experience/Licensure

  • Bachelor’s degree in information technology - data management related field is required.
  • Must be proficient in SQL.
  • Two to three years of applicable EMR experience in the healthcare environment is required.
  • Ability to develop and maintain relationships with a strong attention to detail is required.
  • Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy is required.
  • Must be a highly organized, resourceful, and proactive individual who seeks solutions independently.
  • Experience in identity access management, internet security practices, HIPAA and project management is preferred.
  • Advance knowledge and experience using Microsoft 365 statistical packages for analyzing large datasets (i.e. Excel - macros, pivot tables, formulas, etc.) is required.
