Responsibilities:

The Employee Health Assistant will provide administrative support to the Employee Health and Human Resource teams. This position is responsible for performing varied human resource and employee health functions while promoting excellent customer service and creating a positive impression of Hillcrest Medical Center for all customers to the departments. Day to day activities require the use of initiative and judgment, particularly when prioritizing work. This job operates in a professional office environment.

  • Maintains a professional presence at reception area, greeting all and assisting employees, visitors and applicants in a timely manner, directs walk in traffic as needed
  • Provide excellent customer service with front desk phone and directs calls accordingly, including monitoring the voicemail system in a timely manner
  • Maintains employee documentation in the Employee Health electronic health record.
  • Provides EHS documentation upon new hire appointments
  • Creates name badges for employees, volunteers, resource team, physicians & contractors with minimal revisions
  • Maintain HR filing and assist with employee questions as well as routing to the appropriate HR personnel as needed.
  • Maintains forms in office as well as the mailroom
  • Distribute forms, newsletters, posters, and flyers as needed
  • Maintains office supply inventory
  • Able to manage difficult customer/employee interactions, when necessary, in a professional and respectful manner
  • Under the direction of the Employee Health Nurses, responsible for assisting with the coordination, scheduling, administrative tasks of all vaccine clinics
  • Upholds strict confidentiality with all sensitive materials and employee information
  • Prepares outgoing mail; sorts and distributes incoming mail
  • Assist with projects as needed
  • Other duties as assigned by the manager and director

Qualifications:
Experience

  • Minimum 2 years administrative experience preferred
  • Previous experience in a clinic setting preferred
  • Previous HR experience preferred

Education/Certification

  • Graduation from high school or GED equivalent
  • Associates degree, preferred

Knowledge, Skills, and Abilities

  • Must be able to multi task in a high volume office while delivering excellent customer service and maintaining a professional environment.
  • Must possess strong data entry skills with speed and accuracy.
  • Experience with general office equipment including phone lines.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Must be able to read, write and speak English.
  • Knowledge of general human resource regulations and procedures.
  • Regular and consistent attendance mandatory.
  • Strong attention to detail, organizational, and administrative skills.
