About the role
As an Event Planning Coordinator, you will be working as a member of the meetings and events team, and you will be responsible for supporting internal and external meetings, conferences and events for key stakeholders. You will also participate in the creation and maintenance of project plans and accurate records, and you will also be responsible for the management of external vendors.


Other key responsibilities include:

  • Researching venues for dinners, social gatherings at meetings and other events
  • Preparing summaries of appropriate venues, availability, costs and capacities
  • Creating and monitoring rooming lists, restaurant reservations and other attendance lists for events
  • Developing and maintaining a comprehensive project file for each meeting and activity
  • Designing and/or coordinating the preparation of meeting collateral including seminar handouts, name badges and similar items
  • Working with the firm’s in-house travel service to prepare and maintain arrival and departure transportation manifests
  • Supporting the Financial Specialist to develop budget proposals for meetings and events and track compliance with the budget as approved
  • Working with web team to design and building registration sites for firm meetings and the technology department to ensure the availability of audio-visual and/or other required equipment
  • Promoting effective work practices, working as a team member, showing respect for co-workers and motivating others

About you

  • Possess well-developed and professional interpersonal skills; ability to interact effectively with people at all organizational levels of the firm
  • Strong organizational skills needed to manage time well, prioritize effectively, and manage multiple assignments simultaneously.
  • Have the ability to work in a team environment with a customer service focus
  • Exhibit excellent communication skills, both written and verbal
  • Knowledge and proficiency in PC Applications including Excel, PowerPoint, Photoshop, Word and online research applications
  • Ability to handle confidential and sensitive information with the appropriate discretion
  • Display excellent attention to detail for all projects as well as the ability to keep sight of the big picture as the common end-goal

And have:


  • A High school diploma or equivalent is required
  • A Bachelor’s degree is preferred
  • A minimum of (1-3) years of relevant experience at a professional services organization desired

Additional Requirements

  • Occasional travel required
  • Ability to work flexible hours, including nights and weekends

Physical Demands

  • Extensive time using a computer including use of a PC keyboard and mouse or similar data input devices are required.

Compensation & Benefits

Successful candidates will not only be provided with an outstanding career opportunity and welcoming environment, but will also receive a generous and competitive total compensation package. The salary range for this role is $57,000 - $67,000 and represents the firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience, qualifications, and location. Discretionary bonuses may be awarded in recognition of individual and firm performance — and profit-sharing partnership contributions to 401(k) accounts may be given based on firm performance.
