Events Specialist

Summary:
The Seattle Campus is seeking a motivated, creative, and customer service oriented individual to fill the role of Events Specialist. This individual reports to the Associate Director of Administration and Operations (ADAO). The Events Specialist leads event processes, planning, and execution as well as space scheduling for the Seattle Campus. This includes events produced by Seattle Campus staff (related to student affairs, wellness, career, global learner support, enrollment/marketing, and more), College faculty and staff, University staff, and external partners. They also lead planning and day-of operations for signature events such as Graduation, Welcome Days, student showcases, Open House and more.

The Events Specialist strategizes with the ADAO to elevate all aspects of our event operations and classroom scheduling. They demonstrate creativity and leadership in planning academic term and yearly event flows. The Specialist works with Marketing and other colleagues to produce physical and digital assets to promote events. They demonstrate commitment to our diversity, equity, and inclusion goals by diversifying vendors and encouraging event hosts to engage speakers and panelists from a variety of backgrounds.

Additionally, the Events Specialist mobilizes staff across operations, IT, marketing and other areas to produce events. They collaborate with the Administrative Coordinator to source part-time student support as needed.

This is a highly visible position that requires outstanding interpersonal, organizational, and communication skills, as well as a high level of attention to detail. The successful candidate is excited by opportunities to learn and be part of a highly engaged team of faculty and staff. Must be willing to work outside of normal business hours as needed.

Qualifications:
  • Bachelor’s degree or equivalent
  • Minimum of three years related experience with a demonstration of increasing responsibilities.
  • Effective time management, highly organized, and detail oriented.
  • Exceptional multitasking, organizational, and communication skills as well as exceptional ownership required.
  • The ability to thrive in an ambiguous environment is highly valued.
  • Superior communication, planning, and customer (internal and external) service skills.
  • Demonstrated integrity, dependability, judgment, teambuilding and resourcefulness to establish and maintain collaborative working relationships with multiple groups.
  • Must have excellent computer and professional skills with proficiency in Microsoft Word. Excel, and event registration/management skills preferred.
  • Experience supervising staff preferred.
  • Experience in higher education preferred.
Key Responsibilities & Accountabilities:
Event Planning and Management
  • In collaboration with Associate Director of Administration and Operations, develop and refine the vision for events at the Seattle Campus as well as the yearly event calendar.
  • Lead event meetings and coordinate Operations, IT, Marketing, and other entities to produce successful events. Manage and improve event request form.
  • Help event leads schedule and produce well-planned events.
  • Supervise the activities of student workers who support events.
  • Produce event materials such as nametags, Wi-Fi conference codes, programs, etc. as requested.
  • Establish policies and procedures to rent our spaces to external groups.
  • Build strong relationships with outside venues, rental companies, hotel partners, caterers, entertainers, and transportation providers.
  • Establish contracts with preferred event partners. Work with Administrative Coordinator to ensure payment to vendors.
  • Demonstrate commitment to diversity, equity, and inclusion goals by engaging diverse vendors and speakers.

Space Scheduling
  • Manage scheduling systems including Resource Scheduler, Robin, and those required by our landlord(s).
  • Foster reciprocal relationship with our landlord and neighbor, the Institute for Systems Biology.
  • Each term, build and communicate the classroom schedule. Work with Colleges and other stakeholders to ensure equitable distribution of spaces.
  • Work with Dean and space planners to assess future space needs. Pull and interpret reports from our scheduling systems.
  • Manage access to scheduling systems. Serve as approver on all bookings in restricted spaces.

The expected hiring range for this position is $50,520 to $78,310 based on the position's scope and responsibilities.
