The Events Assistant will assist the events team in supporting internal and external events (in-person, hybrid, and virtual) across the firm, departments, practices, and groups. The position reports to the Director of Events and is based in Atlanta.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assists the events team with a high number of events, ranging from small meetings and dinners to firmwide retreats
  • Supports the events team with logistical and administrative support, including but not limited to, venue research; budget planning; scheduling; guest list management; coordinating logistics; event deposits/payments, invoices, and credit card reconciliation; record keeping
  • Responsible for the production of event materials such as name badges, signage, and promotional items
  • Supports the events team on recording, tracking, and allocating firm tickets for client relations and business development purposes through Ticket Manager, a web-based ticket management software
  • Maintains the firm’s promotional item inventory (including charge backs) and ships and tracks inventory as needed
  • Responsible for scheduling, shipping, and tracking firm booths and banners as needed across the firm
  • Supports the events team in guest list management through InterAction, a client relationship management (CRM) database
  • Assists the events team in the creation, testing, communication, and tracking of firm invitations through e-marketing software, Vuture
  • Supports the events team in setting up and running virtual events and webinars through video communication platforms, On24 and Zoom
  • Update and maintain firm calendars ensuring accuracy
  • Additional duties as assigned to meet business needs

KNOWLEDGE, SKILLS AND ABILITIES:

  • Ability to maintain a professional and client‐service oriented demeanor at all times.
  • Candidate must be service‐oriented, collegial, and able to work effectively with lawyers, staff, and vendors at all professional levels to implement successful events.
  • Ability to prioritize and complete multiple projects and/or simultaneous events with minimal supervision.
  • Must display a keen attention to detail and be well-organized
  • Maintain confidentiality when handling matters for the firm and clients
  • Demonstrate a “can do” attitude and willingness to continue learnings and developing skills
  • Must have strong organizational skills and be able to multi-task and prioritize
  • Must be able to communicate ideas or positions in a clear, efficient manner
  • Must be adaptable to the everchanging events environment
  • Must be proficient at using Microsoft Word, Excel, Outlook, and PowerPoint.
  • Ability to travel as needed to support larger events

EDUCATION AND/OR EXPERIENCE:

  • BA or BS from an accredited college or university
  • One (1) to two (2) year’s event planning experience preferred

Job Type: Full-time

Pay: $50,000.00 per year

Schedule:

  • 8 hour shift
