POSITION OVERVIEW

The First Baptist Church of Glenarden is seeking a full-time Events & Scheduling Coordinator who will be responsible for managing the overall event/logistical requirements for our internal and external customers and processing specific room requests for those clients they are assigned to. The position works closely with all operation entities of FBCG to execute events. The incumbent reports to the Events and Scheduling Manager and requires extreme schedule flexibility.

Candidate should be willing to work a flexible schedule to be determined based on the needs of the ministry to include up to 40 hours or more a week, Sunday through Saturday. Flexible meaning, days, evening and weekends based on the scheduled events.

Training period schedule: Monday – Friday 8:30 am – 5 pm


RESPONSIBILITIES

  • Scheduling and reserving rooms in Event Pro and sending out confirmations
  • Communicating, coordinating and providing information to the Production, Food and Beverage, Event Services, Communications, Media, Facilities and Technology department pertaining to all events that need their support
  • Preparing and Distributing room layouts
  • Ensuring that proper room setups are done in accordance with room setup sheets
  • Preparing, updating and distributing a detailed daily room assignment sheet. The room assignment sheet is inclusive of all scheduled events by date, time and room assignments for the week
  • Ensuring that directional is placed on scheduled meeting spaces on an as needed basis.
  • Coordinating and scheduling pre-event, planning and post event meetings with client and operations staff.
  • Posting information on Marquee’s at both locations
  • Coordinating and supporting assigned events from start to finish, onsite and offsite.


QUALIFICATIONS

  • Must be saved, have a servant’s heart, and be a member, in good standing or willing to join and become a member in good standing of FBCG.
  • Must be able to submit to authorities as defined by the Pastor.
  • Must possess a gracious, Christ-like demeanor in demanding situations.
  • Must have an understanding and appreciation for the ministry and the mission of FBCG
  • High School Diploma required, college degree preferred.
  • Five (5) years experience in planning and scheduling events, preferably within the hotel or conference industry.
  • Ability to work in a high pace environment with various personalities.
  • Computer literacy a must; Proficient in Microsoft Word, Excel, Outlook, PowerPoint, Publisher, Visio, and Event Pro or comparable scheduling software.
  • Available to work days, evenings, weekends, and holidays, as required.
  • Must be analytical, detail-oriented, and able to work under pressure.
  • Ability to organize tasks and resources to meet objectives in a timely manner; to work independently, to meet shifting priorities, and to effectively work with management and staff at all levels.
  • Excellent communication skills and have the ability to multi-task.
  • Maintains a commitment to customer service and guest satisfaction.
  • Be able to have prolonged periods of standing and walking.
  • Ability to lift 15-20 lbs.
