The Executive Assistant supports the entire Executive Team consisting of the CEO, COO, CFO, and CCO for May Institute with executive-level leadership and dedicated support. This position will also support the Board of Directors, a variety of event coordination, and assist with collaborating on administrative processes, and direct interaction with executive-level personnel, internal and external affiliate directors, and external collaborators.

Executive Support & Responsibilities
  • Completes a broad variety of administrative tasks including managing an extremely active calendar of appointments (as well as ensuring a work/life balance for the team), completing expense reports, composing, and preparing confidential and time-sensitive correspondence.
  • Arrange complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Communicates directly, and on behalf of the Executive Team, with Board members, donors, and internal staff, and others, on matters related to the Executive Team initiatives.
  • Follows up on contacts made by the Executive Team and supports the cultivation of ongoing relationships.
  • Maintain a high-level of confidentiality in all areas of discussion with the Executive Team.
  • Supports the Executive Team in strategic communications, organization strategy, and all other projects as assigned including presentations preparation, reports, and correspondence/memo drafting and editing.
  • Plan and execute executive meetings, all-staff meetings, board meetings to include securing location(s) and arranging for refreshments to accommodate all and attend as needed.
  • Takes accurate meeting minutes and submits them in a timely manner.
  • Assists the Executive Team to curate and maintain the desired staff culture.
  • Assists with various financial requests as assigned by the Executive Team.
  • General Office Manager duties including managing supplies for the corporate offices, supervises support staff and ensures the corporate offices are clean and organized.
Qualifications
  • Bachelor’s degree preferred but can be substituted with 3-5 years of related experience, preferably in a non-profit organization
  • Elevated level of proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat
  • Expert-level written and verbal communication skills
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly
  • Extraordinarily strong people skills and the ability to build relationships with but not limited to staff, board members, supporters.
  • Ability to take initiative and anticipate tasks and needs of the Executive Team and/or the Board
  • Strong problem-solving and decision-making skills
  • Ability to handle confidential information with discretion, be adaptable to various competing demands.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work generally are Monday through Friday, 8:00 a.m. to 4:30 p.m. Any required travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
