This position supports both our Chief Executive Officer and our General Counsel. The successful candidate will be personable, organized and collaborative, possess a high degree of proficiency with Microsoft Office tools and have prior experience as an executive assistant, preferably in an in-house legal department. This position requires a high level of confidentiality, initiative, and the ability to effectively prioritize and manage multiple projects.
The salary range for this role is: $55,952 - $92,248.
Responsibilities:
- Provide administrative support including:
- Meeting and conference call set up, catering, material preparation for meetings/conferences, create Word and PowerPoint presentations.
- Process expense reports, resolve issues with Accounts Payable as necessary.
- Manage, code and process invoices for payment to law firms and vendors.
- Manage mail delivery and pick-up; check mail daily and distribute to team; handle outgoing mail.
- Read and analyze emails, correspondence, agendas, and memos and determine significance; initiate appropriate and prompt response to these communications.
- Arrange travel for the CEO, General Counsel, and the legal team; reconcile corporate credit card accounts and prepare expense reports.
- Maintain electronic and paper filing systems.
- Maintain company's and committees' Corporate Records Books.
- Interact with Company senior management, members of the Board of Directors, and other business partners.
- Screen and prioritize phone calls.
- Manage Serengeti/Legal Tracker E-Billing System. Maintain systems, track project status and perform appropriate follow-up.
- Onboard law firms/vendors and interact with both on billing matters. Review invoices for compliance with billing guidelines.
- Schedule, attend and take minutes at various internal committee meetings.
- Organize Board of Directors/Committee meetings; manage on-line Board web portal for Board meeting materials; arrange and track payments of Directors' fees and expenses.
- Track and manage Law Department spending against budget using Excel, SAP and Legal Tracker. Coordinate budget tracking with Accounting Department.
- Assist lawyers and paralegal with drafting and editing communications and legal documents.
- Develop agendas and manage logistics for meetings; manage calendars.
- Complete special projects as identified and approved by the CEO, General Counsel, and the legal team.
Other duties as assigned.

Qualifications:
- BA/BS degree preferred.
- Minimum of 5 years prior Executive Assistant experience required.
- Prior Executive Assistant for C-level executive and/or with a corporate legal department is required.
- Basic knowledge of accounts payable and budgeting is required.
- Demonstrated proficiency in Word, Microsoft Excel and PowerPoint applications. Ability to learn new applications quickly.
- Experience with Thomson Reuters Serengeti/Legal Tracker.
- High attention to detail and accuracy and ability to think and act proactively and make sound, independent decisions to accomplish tasks at hand.
- Skilled in balancing competing demands while paying close attention to detail and anticipating issues.
- Proactively seeks opportunities to simplify and improve processes; willing to take the risk of sharing suggestions.
- Strong verbal and written communication as well as proofreading skills for grammar, formatting and understandability.
- Skilled in developing effective relationships and effectively communicating with personnel at all levels throughout the company, including senior executives.
