Just Kids Early Childhood Learning Center is a private preschool program for young children disabled and non-disabled, birth to five years of age. Just Kids supports families in their role as primary educators, caregivers, and decision makers in the delivery of services.

An Executive Assistant/Office Manager position is currently available.

Executive Assistant/Office Manager job duties include:

· Provide professional level administrative/legal support to the Executive Director and CEO as well as department heads and management staff, as needed.

· Assume the role as Office Manager supervising staff members.

· Conserve executive's time by reading, researching, and routing correspondence, mail, drafting letters and documents, collecting, and analyzing information, initiating telecommunications including calls, mail, electronic and paper filing, transcription services, retain sensitive information and other tasks as required to support the company in a confidential, professional manner.

· Prepare, negotiate, and finalize contracts, leases, RFPs, grants, memoranda, presentations, document comparisons, formatting, inputting, editing, retrieving, copying and transmitting text, charts, data and graphics.

· Coordinate and organize detailed calendars, reports, travel arrangements, manage schedules and arrange meetings. Must be available to back up phone coverage for front desk receptionists, when necessary.

· Compare, evaluate, and provide information for leasing and/or purchasing of companywide copiers and phone system, etc. Assist with annual insurance requirements for the company.

· Attend, record, transcribe and distribute all meeting minutes at company's investment, supervisor, and executive committees as well as other company meetings. Proofread and correct prepared documents, copying, printing, scanning, assembling and redline documents for comparison. Provide compliance material requests to state, county and governmental agencies for the company's grants and contracts.

· Answer phones at various times each week; interact via telephone, email, ZOOM or in person with internal and external business associates.

Qualifications:

· Strong attention to detail, organization, ability to multi-task and adapt quickly to changing priorities.

· Must have excellent verbal and written communication skills, proficient in Microsoft Office 365 (Outlook, Word, Compare Documents, Excel, PowerPoint, Publisher, OneDrive) and Adobe Acrobat.

· Dependability: Seeks increased responsibility while remaining conscientious, thorough, accurate and reliable with respect to achieving the program's goals and the needs of the employees and staff. This includes being available and responsive to issues and concerns as they arise.
